As a part of our extensibility vision and first release to Microsoft Graph, we are introducing three new APIs for retention labels, events, and event types in the Microsoft Graph beta environment. These APIs will enable you to customize and extend on what we have built in the product so far.

These APIs can be used by compliance admins and developers to manage retention labels in Data Lifecycle and Records Management solutions.

Rollout will begin in late March 2023 (previously late February) and is expected to be complete by late April 2024 (previously mid-March).

[How this will affect your organization:]

If your organization needs to automate any operation related to retention labels or events, we recommend you achieve this by using the new Graph APIs instead of using PowerShell cmdlets. With Graph, we use REST APIs that support better security, extensibility, and app authentication features.

Permissions

Currently, these APIs are supported through delegated permissions only, which are managed through the Graph interface. We are introducing two new permissions which you will need to access these APIs:

  • recordsmanagement.read.all
  • recordsmanagement.readwrite.all

(Updated) SharePoint: User experience and Image Coherence in SharePoint Online (SPO)

We are currently working to improve user experience by providing a coherent profile photo experience across Microsoft 365. This primarily impacts those users of SharePoint online (SPO) who neither have an exchange license nor are using Delve for uploading images. This may also impact a small number of SPO admin who upload the user profile image on behalf of the end users.

[When this will happen:]

We will begin rolling out this change in early October 2023 (previously mid-September) and expect to complete by late June 2024 (previously late March).

[How this affects your organization:]

Currently, for users who do not have an Exchange License and have uploaded multiple different images across different apps in Microsoft 365, it is likely that SPO displays images uploaded locally in SPO which will be different from User Profile images in other Microsoft 365 apps.

To ensure that the same image is available across all Microsoft 365 experiences, going forward, SPO will display images sourced via MS Graph endpoint from Microsoft People System (MPS). This implies that the image uploaded via other apps in Microsoft 365 will take precedence and get displayed in SPO instead of the locally available image in SharePoint. There is no action required from users at this point.

For users with Exchange licenses there is no functional change.

To ensure profile coherence, we will disable local uploads from SPO to mysite host and instead enable centralized uploads to Microsoft People System (MPS).

[What you can do to prepare:]

For all users identified above: The profile image will no longer be edited/uploaded through SPO “Edit Profile UI” experience or through “Person Immersive” UI experiences. Instead, all such users would be requested to use the “Universal Me” control available on top right corner of the SharePoint Home page for uploading images. Alternatively, they can also use Delve to upload profile images.

For SPO admins: Admins who upload the user profile image on behalf of the end users will no longer be able to upload images via SPO Admin Centre. Instead, all SPO admins will be requested to upload user profile images via MAC Admin Centre or AAD admin center.

We are providing an early heads-up to ensure our customers have sufficient time to adapt to upcoming changes as we will not be able to grant any extension for this change.

(Updated) Microsoft Teams: Automatic Updates for the Teams app on Android-based Teams Devices

General Availability (Worldwide and GCC) Rollout will begin in late October 2023 and is expected to be complete by early April 2024 (previously mid-March).

[How this will affect your organization:]

The Android-based Teams devices (Teams Rooms on Android, Teams Phones, Panels, and Displays) will start receiving automatic updates of the Teams app. The overall internal guardrails and features to manage the updates remain similar to those for automatic firmware updates. Administrators can find them on pages under Teams devices in Teams admin center.

The following capabilities can be used to manage these updates:

Update phases can be found after selecting the Update option after selecting a device.

  • You can assign devices to these phases and the updates will rollout adhering to these. You can select multiple devices and assign a phase to them together as well.
  •  These phase timelines are different from those for Firmware auto-updates. Since the Teams app versions contain smaller changes and are released much more frequently, the rollout is much faster.

 For Teams app automatic updates 

  • Validation phase – Updates start as soon as a new version is published.
  • General phase – Updates start only 15 days after a new version is published.
  • Final phase – Updates start only 45 days after a new version is published.

Software auto-update‘ column in the device inventory table will indicate the phase assigned to the device. You can select the phase to quickly navigate to the Update section.

Temporarily Pause (and Resume) auto-updates – under the Actions menu

  •  Selecting Pause stops all auto-updates for the tenants for 15 days. If an automatic update is already scheduled, it will be cancelled.
  •  If selected, the auto-updates are paused for all the Android-based devices in the tenant.
  •  Admin can also choose to resume the auto-updates before the 15 days elapse.
  •  Manual updates are not impacted by this.

Software versions released by Microsoft are marked as “Verified by Microsoft“. 

  •  Preview versions will be marked as ‘Microsoft Preview’. Automatic updates do not update devices to these versions.

Before this change takes effect, administrators should ensure that their devices are assigned the Update Phase of their choice. When this change takes effect, auto-updates will start happening following the configured update phases. In case you need to validate something on the devices, you can choose to pause the auto-updates temporarily.

Microsoft Teams will be bringing workflows powered by Power Automate into the overflow menu for chats. 

To make sure Microsoft Teams provides the best workflow experience for our users we are making it easier to configure workflows for chats. From the list of chats users will be able to go into the overflow menu for a specific chat (…) and select “Workflows”. Here they will see a list of workflow templates specific to chats within Teams. Users can then configure these templates to their needs and deploy them to the chat.

(Updated) New Feature in Teams Admin Center to Communicate with Third-Party App Publishers via Teams

Microsoft Teams admins will soon be able to initiate private groups chats with a limited set of third-party Teams app publishers via a new ‘Click-to-Chat’ (C2C) feature being added to the Teams Admin Center (TAC).

As part of this feature, Teams admins will be able to quickly communicate directly with app publishers to assess whether an app will meet their business including questions regarding data compliance, pricing and deployment. If an app publisher supports this feature, admins will discover a C2C button in the app card in the manage apps tab of TAC (screenshot below).

Note: if an admin has disabled external communications in their tenant, C2C will also be disabled. While the C2C button will appear, attempts to initiate a chat will result in an dialog providing an email address to which the admin can submit their questions outside of Teams.

(Updated) Microsoft Teams: Improved View Switcher for Teams Rooms on Android

The updated interface for the Teams Rooms on Android View Switcher menu provides end users with more control of the front of room display(s) during a meeting and enables customizations including visibility of the meeting chat and which meeting component is displayed on the left and right panel for Front Row. IT admins can configure the default number of panels and default components on panel(s) using the local device setting.

By leveraging your voice profile, this advance noise suppression capability ensures only the user’s voice is transmitted. Whether you are in a busy office, a noisy cafe, or a crowded airport, you can communicate with confidence and clarity. “Voice isolation” is powered by our advanced deep learning, speech services, and audio processing technology, and it shows our dedication to solving user problems with AI and enhancing audio quality and experience.

The Voice isolation feature will be enabled by default for your organization. End-users will need to enroll their voice profile via the Recognition tab under the Teams Global Device settings to enable the Voice isolation feature to have better audio input quality.

If you want to disable this feature for your organization, you will need to do so via PowerShell: Set-CsTeamsMeetingPolicy

(Updated) SharePoint eSignature electronic signature service

SharePoint eSignature is Microsoft’s first party electronic signature service which allows users to easily request eSignatures on a PDF document via SharePoint online.  Signers can easily add their electronic signature. Signed documents are saved securely back to SharePoint.

General Availability: We will begin rolling out to the US in late November 2023 and expect to have completed rollout by late June 2024 (previously late March). We will roll out to other regions in 2024.

[How this will affect your organization:]

Organizations will be able to easily request signatures from PDFs in SharePoint online.  Signed documents will be saved back to the folder from where the request originated.

This is a PAYGO service with a charge per request.

In order to setup SharePoint eSignature, please read the Admin support documentation: Set up Microsoft Syntex eSignature (Preview)

Notes: When setting up billing regions, please specify a region other than the WestUS as SharePoint eSignature is not available in these regions currently.

(Updated) Microsoft Teams – Teams app on Teams Rooms on Android and paired Touch Consoles to be updated in sync

With this feature, the Teams app updates will happen in sync for Microsoft Teams Rooms (Android) and their paired touch consoles. This will be applicable for both manual and automatic updates done from Teams admin center.

[When this will happen:]

General Availability (Worldwide and GCC): We will begin rolling out early December 2023 and expect to complete by early April 2024 (previously mid-March).

[How this will affect your organization:]

When this feature is rolled out to Teams admin center, the Teams app updates done for paired Microsoft Teams Rooms – Android (MTRoA) and their paired touch consoles will happen in sync. This feature is aimed at reducing efforts for admins and keeping the devices on same versions for a streamlined Teams experience.

For manual updates:

  • Currently, Teams device administrators have to schedule Teams app updates separately for MTRoA and touch consoles even if they are paired.
  • With this feature, whenever an update is being done for an MTRoA or a Touch console, the paired device will also be updated.

For automatic updates:

  • Automatic updates for MTRoA and their paired consoles will also happen in sync.
  • Automatic updates rollout according to the timeline dictated by the Update phases. Touch consoles will be updated according to the update phase of their paired MTRoA. So, there will be no impact if both devices are in the same phase. If they are in different phases, the MTRoA phase will take precedence.

Conditions for updates to happen together:

    • If MTRoA and the paired touch console(s) are on the same version and have an update available, they will both be updated in sync when one of them is updated.
    • If MTRoA and the paired touch console(s)are on different versions:
      • Manual updates: Administrators should ensure that the device(s) on the lower version are brought to parity for the devices to be updated in sync to the new version.
      • Automatic updates: The device(s) on the lower version will be first brought to parity automatically. Once the devices are on the same version, they will be updated to the new version together. In this scenario, the move to the new version may be delayed as the parity updates will happen first. This will be done to minimize conflicts between MTRoA and the paired console(s).

    Tracking update status:

    • Administrators can track the status of these update operations from the ‘History’ section in the device page. Details for each operation will be shown in the relevant row, including if the operation was carried out for a paired device. Additional details for the operation are available on selecting the operation status.

    The task publishing experience allows frontline organizations to distribute tasks across employees spread across geographically dispersed locations and then monitor how that work is going. Task publishing is available in Microsoft Teams as part of the Tasks by Planner and To Do app, which will soon be renamed to Planner.

    We’re releasing several new task publishing features based on top customer requests and feedback: 

    1. Recurring task lists. You’ll be able to set recurrence on a draft task list, which will allow you to choose the cadence (such as every month on the 15th of the month). You can then publish the list and task publishing will automatically send future tasks. We know this will be a time saver for distributing repeat tasks across frontline locations. Common applications are weekly/monthly site inspections and compliance walks or daily opening and closing tasks.
    2. Training and policy task lists. You’ll be able to create a task list for each member of a recipient team. When you publish the list and choose the recipient teams, a copy of the tasks in the list will be created for and assigned to each member of the recipient teams. This is a great option for training tasks or tasks where employees must acknowledge a new policy.
    3. Form completion requirement. You’ll be able to add a form completion requirement to a task, which allows you to create a Microsoft Forms survey that must be completed by a member of each recipient team before that team can complete the task. You can use any Forms question types, including a question that requires a file upload for employees to show their work. You’ll be able to centrally review the form submissions across the locations.
    4. Approval completion requirement. Similarly, you’ll be able to add an approval completion requirement to a task, which means that the task cannot be approved until an approval of the completed work is requested and granted. The approval can be requested directly from the task details by the user completing the task. 

    These features will be enabled as part of the rollout of the new Planner experience (more info at https://aka.ms/thenewplanner).

    Premium Viva Engage: New Copilot and AI Summarization

In late April 2024, Copilot in Viva Engage will be enabled for all users with a premium Viva Engage license (purchased as part of Microsoft Viva Suite or Microsoft Viva Employee Communications and Communities). AI-powered Summarization will also be enabled at the same time for all users in premium Viva Engage licensed tenants. AI Summarization includes AI-powered summarization, theme extraction, and sentiment analysis.

    This Copilot provides access to Large Language Model (LLM) technology with Microsoft Responsible AI protections to assist users as they access, interact with, and create content through Engage. Copilot does this by providing personalized suggestions for what to post on Engage, and where to post. Copilot also offers collaboration on writing Engage posts, so users can efficiently and confidently create posts that contribute value to the organization.     Suggestions from Copilot in Viva Engage are personalized based on the user’s Engage activity, such as activity in a user’s communities and relevant campaigns. Copilot only shows message summaries to users who have access already to the associated messages. This prevents private information from being shared by Copilot. Sentiment analysis results are restricted to admin, corporate communicator, leader, and delegate users with access to Network Analytics or Leader Analytics.

    With this rollout, Approvals will soon be available in any list. Today, two list templates allow for approvals integration: content scheduler with approvals and travel requests with approvals. With this rollout, we’re expanding the ability to enable or disable approvals on any list.

    Users will be able to configure Approvals by going to the Automate dropdown from the command bar in SharePoint Online lists or in the Microsoft Lists app. Approvals will be actioned and available from Microsoft Teams. Note that disabling approvals will only hide the relevant columns and in-progress approvals will still be actionable in Teams. At any time, you can manually add approvals columns back into views.

    After Approvals are enabled, a user can create a list item and submit it for approval. By creating an approval request and specifying the approver, the request will appear in the Approvals app in Teams or can be approved directly within the list. Once approved, the list item status is updated.

    Inform your users of the new Approvals functionality for lists and include Approvals in Lists – Microsoft Support in your end-user documentation and support process. We will update this message when we have revised Approvals in Lists – Microsoft Support to reflect the rollout.

    Power Platform – Automatically enabling copilots and generative AI capabilities with Bing in commercial environments

    Between April 10, 2024, and April 24, 2024, we are rolling out a change that will automatically enable copilots and generative AI features in Microsoft Power Platform and Microsoft Dynamics 365 within all commercial environments.

    How does this affect me?
    Last year, we provided a setting, “Move data across regions” in the environment settings page in the Power Platform admin center to enable these AI features in environments outside of regions where data remains within geographic compliance boundaries. Power Platform and Dynamics 365 now monitor for abusive or harmful uses of generative AI features with transient processing, so no customer data is stored outside of region. Following this change, we will now be automatically enabling these features in all environments in all commercial regions between April 10, 2024, and April 24, 2024.

    In parallel with this change, we are also automatically enabling the Power Platform Admin Center setting for generative AI features that use Bing search in all commercial environments.
    • Please note, Fedramp customers with environments in commercial regions will be excluded from this change, and this will not be automatically enabled.
    What do I need to do to prepare?
    This message is for awareness and no action is required, if you have already taken action to turn either of these features off, they will not be reenabled.

    Microsoft Viva Insights delegate access for leaders

    Assigned delegates will now have a ‘View insights for’ banner at the top of the Viva Insights app to toggle between their own profile and the leader’s profile (see image below).

    Leaders are defined as users who have been assigned the group manager role in Viva Insights and have a span of control of at least 9 licensed users. 

    Here are a few things to note about this new capability:

    • Leaders can delegate access to multiple people.
    • Leaders can revoke access to anyone at any time.
    • Delegates cannot delegate access to others.
    • If a leader is removed as a group manager from Viva Insights, the delegates whom they have assigned will also be removed along with their access.
