(Updated) Microsoft Purview | Data Lifecycle Management: New integration with Adaptive protection

Coming soon for Microsoft Purview: We are announcing the public preview of the integration of Adaptive protection with Data Lifecycle Management (DLM) to help you find the right balance to protect against data sabotage while enabling productivity. This new integration leverages DLM features to provide an additional control for Adaptive protection that automatically preserves items deleted by a user with an elevated risk level, so items can be restored if needed.

[When this will happen:]

Public preview: We will begin rolling out in late June 2024 (previously early May) and expect to complete by late July 2024 (previously mid-July).

General Availability:  We will begin rolling out in mid-March 2025 (previously mid-January) and expect to complete by late March 2025 (previously late February).

[How this will affect your organization:]

After the rollout, and after you enable Adaptive protection for your tenant, the retention label and auto-apply policy for data lifecycle management will be automatically created for you. This policy will automatically include elevated risk users identified by Microsoft Purview | Insider Risk Management solution. If these users delete content from Microsoft SharePoint, Microsoft OneDrive, or Microsoft Exchange, a retention label is automatically applied to that content to retain it for 120 days. Retention labels are automatically applied to unlabeled content deleted by these users. When these users are no longer at the elevated risk level, they are automatically removed from the DLM policy, and the system will no longer keep a copy of content they delete. Any content copies previously retained when the user had an elevated risk level will be kept for the 120 days as specified by the retention label.

Unlike other retention labeling scenarios, users do not see the retention label, and you do not need to create or manage the retention label or policy. At this time, you can’t change the retention period or assign different policies based on the different risk levels, or for different locations. The single retention label and auto-labeling policy for your tenant is not visible in the Microsoft Purview compliance portal.

If you’re using Adaptive protection and want to automatically retain content deleted by elevated risk users, follow these steps to turn on this new integration.

  1. Sign in to the Microsoft Purview compliance portal.
  2. Navigate to Data lifecycle management > Microsoft 365 > Adaptive protection settings in the top right corner.
  3. Turn the setting ON and select Save.

If you’re not using Adaptive protection already, turn on Adaptive protection and the new feature will be enabled along with Adaptive protection.

This rollout will happen automatically by the specified date with no admin action required before the rollout. You may want to notify your users about this change and update any relevant documentation as appropriate.

(Updated) Microsoft Copilot for Microsoft 365: Automatic summary of documents on file-open in Word

When you open a document, Copilot for Microsoft 365 for Microsoft Word will generate a summary in the window at the top of the Word document. You can hide the summary or open the Copilot chat pane to ask specific questions about the document.

Users will see a new UI between the canvas and the ribbon in Word supporting a summary of the document created by Copilot for Microsoft 365. This UI can be collapsed if the user does not want to see the summary.

Before this rollout, Microsoft Teams chat and Microsoft 365 Copilot interactions are available together to be included or excluded in the Microsoft Purview Data Lifecycle Management policy in the Purview compliance center.

After this rollout, admins can have separate policies for Copilot interactions. Also, admins can separate Teams chat from Copilot interactions to create new retention policies for Copilot messages only.

A Microsoft 365 Copilot license is required to use this feature.

Microsoft SharePoint: New Accessibility assistant tool for authoring Pages

Coming soon for Microsoft SharePoint: A new Accessibility assistant tool to help content creators meet accessibility standards when authoring SharePoint Pages. This tool provides checks and brief guidance to help ensure pages are inclusive and accessible to a broad audience. This rollout reflects our ongoing commitment to fostering accessibility and inclusivity in SharePoint.

Targeted Release: We will begin rolling out late January 2025 and expect to complete by early February 2025.

After this rollout, authors can initiate an accessibility test while editing a page. Authors can select the Accessibility assistant icon from the right vertical toolbar. The Accessibility assistant will support five web parts: Banner, Text, Image, Hero, and Quick Links.

Microsoft Search: The old Search usage reports will retire

Effective April 1, 2025, the New usage insights toggle on the Insights tab of the Microsoft 365 Search and Intelligence admin portal will be retired, making old search usage reports inaccessible. The new usage reports have improved consistency and are more efficient to maintain.

[How this will affect your organization:]

The retirement will not affect existing default reports in the Search and Intelligence portal. There are some differences between the new and old reports, including changes in metrics (such as the new reports have no query count or average position) and improvements to the user experience. For consistency, you cannot switch back to the old reports, and we will not address the disparities of the old reports at this time.

[What you need to do to prepare:]

You will have access to view old reports until March 31, 2025. We encourage you to download any necessary old reports by this date for your records. Microsoft Viva Engage: Leadership feed available in SharePoint web part

We have added a new source feed option in the Viva Engage conversations web part, which is called the “leaders” feed. 

As a result of this change, your site admins will be able to add the following Microsoft Viva Engage feeds to their Microsoft SharePoint site via the conversations web part:

  • Community feed
  • User feed
  • Topic feed
  • Home feed
  • (New) leaders feed. 

If a site admin chooses to add the “leaders” feed to their SharePoint site, the content the user sees will be dependent on their license status. 

  • Users with either a Viva suite or Viva Employee Communications and Communities license will see content from their leadership corner feed.
  • Users without a Viva suite or Viva Employee Communications and Communities license will see content from their home feed.

General Availability (Worldwide): This feature has completed rollout.

This update is available by default.

[How this will affect your organization:]

When site admins are editing their SharePoint site, they will have the additional “leaders” feed option when they are configuring the currently available conversations web part. There is no impact on any conversation web parts already added to SharePoint sites within your tenant.

[What you need to do to prepare:]

This change will have no impact on any existing conversations web parts. This rollout will happen automatically with no admin action required. You may want to notify your users about this change and update any relevant documentation as appropriate.

Viva Engage: Verified Answers

We are rolling out the Verified Answers feature in Microsoft Viva Engage. This new functionality empowers community experts and admins to mark answers on questions as “Verified” to provide a reliable indicator of credible and trustworthy information. 

Only assigned community experts and community administrators have the ability to mark an answer as “Verified.” This ensures that the verification comes from users with recognized expertise and authority within the community. 

Key Benefits of Verified Answers: 

  • Enhanced credibility: With Verified Answers, users can confidently rely on the accuracy of responses, knowing that they have been reviewed and endorsed by designated experts. 
  • Streamlined knowledge sharing: Verified Answers are highlighted and pinned at the top of discussion threads, making it easier for everyone in the community to access key information quickly. 
  • Robust community engagement: This feature not only recognizes the expertise within your community but also fosters a culture of trust and thorough knowledge exchange.
