Coming soon: Microsoft Teams will be bringing Workflows powered by Microsoft Power Automate to the three-dot menu for files shared in Teams chat or channels.

[When this will happen:]

Targeted release: We will begin rolling out late October 2024 (previously mid-October) and expect to complete by early November 2024 (previously late October).  

Worldwide: We will begin rolling out early November 2024 (previously late October) and expect to complete by late November 2024 (previously early November).

GCC: We will begin rolling out early December 2024 (previously late October) and expect to complete by mid-February 2025 (previously mid-January).

[How this will affect your organization:]

To make sure Microsoft Teams provides the best workflow experience for our users, we are making it easier to configure and run workflows for files. A user will be able to select the three-dot menu on files shared in Teams chat or channels, and then choose Workflows. From Workflows, the user will choose an instant workflow to run on a file. The user must set up the workflows in advance. A user can set up a new workflow for files by selecting See more workflows at the bottom of the three-dot menu. This launches the Workflows task module, where a user can choose a template to start setting up a new workflow. Examples of file workflows include Request approval for selected file, Get notified in Teams when a file is updated, Create a PDF copy of the file, and Add a task for this file.

If the Power Automate app is disabled in the Teams admin center, users will not see this option in the three-dot menu.

This feature will only be available in the New Teams client on the desktop and on the web.

No action is needed from you to prepare for this rollout. You may want to notify your users about this change so they can find the new entry point for Workflows.

(Updated) Microsoft OneDrive: Update for unlicensed accounts

Updated: January 27, 2025: Today, we are starting to implement the update for unlicensed OneDrive accounts.

For accounts unlicensed before February 17, 2025:

  • April 25, 2025: By this date, all unlicensed accounts will transition to read-only mode. Admins are advised to check after this date to avoid an incomplete status snapshot.
  • May 16, 2025: By this date, all unlicensed accounts will be archived. Admins are advised to check after this date to avoid an incomplete status snapshot.

For accounts unlicensed after February 17, 2025, the account will be put into read-only mode on the 60th unlicensed day and will be archived or moved to the recycle bin on the 93rd unlicensed day.

Example:

  • Unlicensed Date: March 1, 2025
  •  Day 60: April 30, 2025. The account is placed in read-only mode.
  •  Day 93: June 2, 2025. The account is either archived (if a retention policy is in place) or moved to the recycle bin (if no retention policy applies).

OneDrive is making changes to storage policies of unlicensed Microsoft OneDrive accounts for business and enterprise customers. These changes do not apply to customers in Education tenants.*

[When will this happen:]

General Availability (Worldwide): We will begin rolling out late January 2025 and expect to complete by late March 2025.

[How this will affect your organization]

After this storage policy goes into effect in your tenant, any OneDrive user accounts that have been unlicensed for more than 90 days will be archived automatically and will become inaccessible to end users. Admins can view these accounts with admin tools, but the accounts will not be accessible to users until admins take action on them. For example, a OneDrive account that became unlicensed on August 1, 2025 will be inaccessible to users as of October 1, 2025.

As an admin, you can view a list of unlicensed accounts in your tenant by navigating to SharePoint admin center > Reports > OneDrive accounts. Some admins will have access to this page as soon as July 26, 2024, but most admins will be able to access the page closer to August 16, 2024.

  • Set up the Archive billing for unlicensed accounts to be able to access and edit the archived files.
  • Delete the unlicensed OneDrive account, if it does not have a retention policy applied to it.
  • Renew the unlicensed account to maintain access.

After the unlicensed accounts are automatically archived, you can access the files in these accounts by enabling unlicensed account billing in the Microsoft 365 admin center. Once enabled, unlicensed account billing applies to all unlicensed OneDrive accounts in your tenant. There is a fee of $0.05/GB/month to store unlicensed accounts in the Microsoft 365 Archive, and a fee of $0.60/GB to reactivate accounts stored in the Microsoft 365 Archive. Account reactivation takes up to 24 hours and provides 30 days of access to the account, and then the account returns to an archived state.

If you take no action for OneDrive accounts that have been unlicensed for longer than 90 days, these accounts will remain inaccessible to end users until you set up an Azure subscription and enable unlicensed account billing in the Microsoft SharePoint admin center. This action will not affect tenants who have not changed the default tenant retention settings.

[What you need to do to prepare]

To prepare for this change, admins can view a list of all the unlicensed OneDrive accounts in their tenant by going to the SharePoint admin center and navigating to Reports > OneDrive accounts (this page will be rolled out to admins between July 26, 2024 and August 16, 2024). This page will provide the number of unlicensed accounts and why the accounts are unlicensed. You may have unlicensed accounts in your tenant for four reasons:

  1. Retention period – Account is no longer licensed but is still active because a retention period setting is keeping the account from being deleted.
  2. Retention policy – Account is no longer licensed but is still active because a retention policy in Purview is keeping the account from being deleted.
  3. Active user with no license – Account is active but is not licensed. This can happen if the license is removed but the user is not removed from Microsoft Entra ID (formerly Azure Active Directory).
  4. Duplicate accounts – Account is a duplicate because a licensed user has multiple OneDrive accounts associated with them. Duplicate accounts (also known as non-primary accounts) may arise if a user has geographic move, if a user leaves and then rejoins an organization, or from other factors.

After you have taken inventory of your unlicensed accounts, we recommend that you take the following action before January 27, 2025.

  1. Delete unlicensed accounts that you no longer wish to retain.
  2. Set up billing for accounts that you wish to retain.
  3. You may want to notify your users about this change and update any relevant documentation.

*At this time, these changes do not apply to customers in Education tenants. An Education tenant is any tenant with more than 50% education licenses. Any tenant with fewer than 50% education licenses is considered commercial. However, for any education tenant, unlicensed OneDrive accounts consume pooled storage and can pose security and compliance risks. IT admins can view the unlicensed accounts on the OneDrive accounts page to identify unlicensed accounts and take action.

(Updated) New Microsoft Outlook for Windows: Add Microsoft accounts with non-Microsoft email addresses

Coming soon: Support for users to add a new personal Microsoft account type in new Microsoft Outlook for Windows. Adding a personal Microsoft account to Outlook is useful if that personal Microsoft account is linked to Microsoft subscriptions such as Microsoft 365 and Microsoft Copilot Pro. For instance, a user might purchase a subscription for Microsoft 365 Personal with a Microsoft account such as [email protected]. Before this rollout, new Outlook for Windows would not support adding this personal Microsoft account to Outlook and the user could not access any subscriptions linked to those accounts. After this rollout, users will be able to enjoy the benefits of their personal Microsoft 365 or Copilot Pro subscription in Outlook.

[When this will happen:]

Targeted Release for new Outlook for Windows users with a primary work or school account: We will begin rolling out late December 2024 (previously mid-November) and expect to complete in late January 2025 (previously mid-December).

General Availability (Worldwide) for new Outlook for Windows users with a primary work or school account: We will begin rolling out late January 2025 (previously mid-December) and expect to complete in late February 2025 (previously mid-January).

A primary email account is the first account listed at Accounts > Your accounts settings page.

[How this will affect your organization:]

Before this rollout: Outlook supports connecting to personal email accounts like Outlook.com, Gmail, Yahoo and more, so users can access email from those accounts in Outlook .

After this rollout, users will be able to add a new personal Microsoft account that does not use a Microsoft email address (such as outlook.com, hotmail.com, or live.com) at Settings > Accounts > Your accounts > Additional Microsoft accounts for the purpose of accessing any subscriptions linked to that personal Microsoft account.

This rollout does not change the benefits or features users receive as part of your organization’s Microsoft 365 subscription.

(Updated) Microsoft Purview | Data Loss Prevention: Fetch the original file resulting in a DLP policy match as evidence

Data Loss Prevention (DLP) investigators have the option to preview and download the full file that resulted in a DLP policy match as evidence on Windows devices using Microsoft Managed storage.

Public Preview: We will begin rolling out mid-November 2024 and expect to complete by early December 2024.

General Availability (Worldwide) We will begin rolling out late January 2025 and expect to complete by late February 2025.

[How this will affect your organization:]

There is no impact on your organization if you choose not to use this feature.

If your organization requires you to keep a copy of the original file that matches a DLP rule, you will be able to preview and download the original file for further workflow from Activity explorer and DLP Alert tabs. Currently this feature will only be supported for endpoint Windows devices.

In endpoint DLP settings, enable evidence collection and select Microsoft Managed storage, followed by creating a policy for endpoint and selecting the activities you wish to collect from the original file as evidence.

View usage of Microsoft Managed Storage

You can view and export the daily usage for the past 6 months for Microsoft Managed storage.

1. Sign in to the https://purview.microsoft.com and open Settings from the left panel

2. Choose Data Loss Prevention

3. Select Endpoint DLP settings

4. Expand Setup evidence collection for file activities on devices

5. Click on View Usage button, a panel will open. Here you can see the month wise graph of daily usage and also export the usage data.

(Updated) Change in behavior of the HighCompleteness parameter in the Search-UnifiedAuditLog cmdlet

The Search-UnifiedAuditLog cmdlet gives administrators in your organization access to critical audit log event data to gain insights and further investigate user activities. Microsoft had introduced a new HighCompleteness parameter in this cmdlet in April 2024 that allowed customers to toggle between prioritizing completeness of search results and performance.

We previously announced a change in the behavior of the Search-UnifiedAuditLog cmdlet, specific to the functioning of the HighCompleteness parameter. We had announced plans to deprecate support for this parameter and enforce HighCompleteness on all search queries submitted via the Search-UnifiedAuditLog cmdlet.

Several customers and partners reached out to us with concerns about the performance of the cmdlet in certain scenarios when HighCompleteness is enabled. Based on these concerns, we have decided to postpone the deprecation of the HighCompleteness parameter to a future date. This postponement will allow us to address these concerns before making any lasting changes in the behavior of the cmdlet, and to minimize any impact on customers relying on this cmdlet.

To search the audit log programmatically, you could also consider using our new Audit Search Graph API for programmatic access to audit logs.
