(Updated) Standard and Priority access to Copilot capabilities

Updated September 26, 2025: We have updated the timeline. Thank you for your patience. 

We’re excited to announce the change from fixed limits to capacity-based access for some capabilities in Microsoft 365 Copilot. Starting early August, Copilot Chat users without a Microsoft 365 Copilot license get standard access to tools like image generation and file upload based on service capacity. The access could vary during the time of the day based on the available capacity. Users will be notified in-product if the service capacity is not available and the task in progress will not be interrupted. Microsoft 365 Copilot users are offered priority access to these tools.

This change will start rolling out early August and be completed by late October 2025 (previously mid-September).

[How this will affect your organization]

This change will provide a more flexible and scalable experience for our users.

Users will be notified in product with a message, if service capacity is not available at this moment.

[What you need to do to prepare]

No admin action is required. If your users need more than standard access to these tools, you can upgrade them to Microsoft 365 Copilot. The maximum size per uploaded file continues to be 512mb for both Copilot Chat and Microsoft 365 Copilot.

(Updated) Unread News Notifications in Viva Connections

Introduction

We’re introducing a new feature in Viva Connections that helps users stay informed with SharePoint news. Starting with this rollout, users will receive a weekly notification in Microsoft Teams reminding them to catch up on SharePoint news articles they haven’t read from the previous week. These articles will be accessible under the Unread pill in the News tab within Viva Connections.  

This feature is associated with Microsoft 365 Roadmap ID 498323.

When this will happen

We will communicate via Message center when we are ready to proceed.

How this affects your organization

Once rolled out, users will receive a weekly notification in Microsoft Teams linking them to their unread SharePoint news in Viva Connections. This notification is enabled by default, but users can manage its visibility through their Teams notification settings.

What you can do to prepare

  • No admin action is required. The rollout is automatic.
  • Admins may wish to inform users about the new notification and how to manage it in Teams settings.

(Updated) AI actions coming to SharePoint document libraries

Introduction

We’re expanding AI capabilities to SharePoint document libraries in Microsoft 365 on the web. AI file actions—already available in OneDrive—will now be accessible in SharePoint, enabling users to summarize content, compare files, generate FAQs, ask questions, and create audio overviews directly from document libraries.

  • Targeted Release (Worldwide): Rollout will begin late September 2025 (previously early September) and complete by mid-November 2025 (previously mid-October).

AI file actions will be available to all users with a Copilot license in SharePoint document libraries on the web. These actions mirror those currently available in OneDrive and offer enhanced productivity by enabling users to interact with files using natural language prompts.

This feature is on by default and does not require admin configuration.

  • We recommend informing your users about the new capabilities and reviewing Copilot licensing to ensure appropriate access.

Starting in late October 2025, Microsoft will begin automatically installing the Microsoft 365 companion apps—People, Files, and Calendar—on Windows 11 devices that already have Microsoft 365 desktop client apps. These taskbar-integrated apps are designed to streamline everyday workflows, helping users stay focused, reduce context switching, and complete tasks faster.

With Copilot integration, users can ground their prompts in the right context—whether it’s a shared file, a meeting, or a collaborator. This integration allows users to catch up, summarize, and take action more efficiently.

  • Admins can opt out of automatic installation via Device Configuration settings.
  • If Copilot pinning is not yet enabled, admins will be able to pin both Copilot and companion apps starting mid-October.
  • If you’ve already enabled Microsoft 365 Copilot pinning in the Microsoft 365 Admin Center, note that companion apps are not included in the pinning configuration at this time but you will be able to enable companions pinning starting mid-October.
  • On devices where the apps are already installed, no visible change will occur.
  • Installation is enabled by default and does not require user interaction.
  • Apps will appear in the Start menu and provide quick access to people, files, and calendar data from the Microsoft Graph.

    Microsoft admin center: New licensing experiences

       Coming soon to Microsoft Purview | Data Loss Prevention: When an admin wants to enable user email notifications, policy tips also need to be enabled and vice versa. After this rollout, notifications and policy tips will be decoupled, and admins can configure the following rules to enable:

      1. Only a user email notification
      2. Only a policy tip
      3. A user email notification and a policy tip
      4. No policy tips or user email notifications

      After this rollout, policy tips and user email notifications will align with the behavior currently available with Microsoft Exchange.
