You can customize how Graph Connector content sources are shown in the filter experience. To customize the name and icon shown to users for a connection in content source filters:

  1. In Microsoft 365 admin center, go to Search and Intelligence > Data sources > select the connection you want to customize and then select Edit in the side panel.
  2. Set your Connection Display name and icon. Note that certain keywords are reserved and cannot be used in the Display name (such as Microsoft brands and default search vertical names).

(Updated) Purview | Insider Risk Management: Exfiltration of business sensitive data to free public domain emails

[How this will affect your organization:]

We are enhancing the existing email insight alerts to provide additional information when business sensitive data is potentially leaked from a work email account to a free public domain email, potentially leading to a data security incident. The new domain detection group “Free public domains” will list the common domains used for personal email accounts. Admins with appropriate permissions can choose to select these domains in their indicator variants.

You can also modify the “Free public domains” detection group. Administrators with the necessary permissions now have the flexibility to tailor the default domain list in the “Free public domains” by adding new domains or removing existing ones. Should there be a need to revert to the original domain list provided by Microsoft, the “Reset” function can be utilized. The maximum number of domains allowed per detection group remains capped at 200, and this includes the “Free public domains” group. Any changes made to this group will be taken into account when analyzing potential data exfiltration to personal email accounts.

Microsoft Purview Insider Risk Management correlates various signals to identify potential malicious or inadvertent insider risks, such as IP theft, data leakage, and security violations. Insider Risk Management enables customers to create policies based on their own internal policies, governance, and organizational requirements. Built with privacy by design, users are pseudonymized by default, and role-based access controls and audit logs are in place to help ensure user-level privacy. 

Any email going to free public domains (including email sent to self) will be automatically highlighted in email insights.

Version history, a critical part of Microsoft SharePoint’s built-in data protection, tells users how a file has evolved over time. Users can easily revert to an older version if business needs change or if files are damaged by user error or malware. Version storage controls allow you as admins to set an appropriate level of recoverability and auditability for your organization. Based on strong customer feedback, we will release enhanced version storage controls so you can meet your needs efficiently and at scale.

Public Preview: We will begin rolling out early May 2024 and expect to complete by late June 2024. Admins can opt into the Public Preview by running the SharePoint Online Management PowerShell cmdlet Set-SPOTenant -EnableVersionExpirationSetting $true. Please make sure that your SharePoint Online Management Shell is updated to version 16.0.24810.12000 or higher so you can run the specified cmdlets. For guidance, refer to Get started with the SharePoint Online Management Shell.

General Availability (Worldwide): We will begin rolling out mid-September 2024 (previously late August) and expect to complete by mid-October 2024.

[How this will affect your organization:]

What’s New?

We are introducing new version controls that help admins and content owners reduce storage footprint driven by low value file versions. Previously, document library owners could set count-based version limits at the library level. With this rollout, we are introducing new automatic version limits that consider important factors such as age and restore probability to offer more intelligent version deleting options. We’re also adding manual settings for version expiration and count limits.

Here is a summary of the new capabilities introduced with this rollout:

  • New Version history limit options to meet your organization’s recovery objectives and version storage targets. Set version limits to:
    • Automatically optimize version recovery and storage without estimating limits; or
    • Manually limit versions by count or version age.
  • Set default organization Version history limits on new document libraries and Microsoft OneDrive accounts for consistent version storage setting on all new libraries and OneDrive accounts created through the organization.
  • Set Site or Library level Version history limits to meet specific content needs by breaking inheritance from organization defaults.
  • Report on version storage use of a site or library by generating a CSV report to analyze current usage trends or impact analysis.
  • Delete versions from a site or library to reduce existing version storage footprint or align with new limits.

After this rollout completes, you can expect these changes:

1. New Version history limits settings in SharePoint admin center: Admins can set global defaults for all new libraries created in the organization. By default, the organization-level Version history limit will be set to Manually delete versions. Within the Manual limits, the default Number of major versions is set to 500 and the Time period is set to Never expire.

2. New Version time limit setting for Document libraries: In addition to existing Version count limits, users can set Version time limits to delete versions based on age. Version time limits will be on the library’s Version settings page. No change will be made to existing version limits applied to the library.

3. New Expiring in column on a file’s Version history view: Users will be able to:

  • View an expiration applied to a file’s versions based on the library settings
  • Set individual file versions to never expire

Coming soon in Microsoft Teams: An enhanced content consumption experience in Teams chats and channels. We are about to release a series of features that will help you to identify, consume, and act on content such as files, lists, and SharePoint pages/posts. In this first release in the series, we will roll out file image previews in chats and channels, to help users better identify a file in the conversation stream. When a file (such as a JPG or PNG image file, a Microsoft PowerPoint file, or a PDF) is attached to a message in chat or a channel, users will see a small image of the file without opening the file.

Image preview benefits

  • Quickly scan for and find the file you need
  • Preview part of the file content before opening it
  • Save time and bandwidth by avoiding unnecessary file downloads and file opens

To use the new file image previews, users will upload or share a file in a chat or a channel, and then see an image preview of the file content (and its metadata) in the message. Users can also select the image preview to open the file.

When a message has multiple images attached, users will be able to select one image, and then click the right arrow to page between the other attached images.

If the recipient does not have the access to the file or if the file is marked Confidential, image previews will not be shown.

Microsoft Purview: We are excited to announce upcoming enhancements to Microsoft Purview Data Loss Prevention (DLP). With the forthcoming update, the capability to scan, classify, and protect sensitive content on Windows endpoint devices will be significantly expanded. The number of supported file types will increase from approximately 40 to over 100, aligning endpoint coverage with other platforms like Exchange, SharePoint, and OneDrive. Additionally, this update will introduce several key enhancements, including:

  • Detection of labels from protected files (pfiles).
  • Identification of sensitive content within file metadata.
  • Recognition of sensitive information in PDF form fields.
  • Detection of sensitive information in files embedded inside office files (for example, a .txt file inside .pptx file)

[How this will affect your organization:]

The upcoming update will enhance DLP’s content scanning on Windows devices. No changes to existing policies are required.

Summary of enhancements:

1. Enhanced file type coverage

The file type coverage to scan, classify, and protect sensitive content on Windows Endpoint devices will increase from 40 file types to over 100.

This means that sensitive content in additional file types like BZ2, EML etc. will also start getting scanned and protected using DLP policies.

2. Detect label in PFILE

The DLP condition “content contains sensitivity label” now has the capability to detect labels from protected files (pfiles). This means that it can now read labels not just from Office and PDF files, but all other files where MIP label with protection can be applied via applications like AIP client, Secude etc. which converts the file into “pfile”.

3. Scanning metadata

Ability to detect sensitive content in file metadata like custom properties in Office and PDF files.

4. Scanning content embedded in Microsoft 365 office files

If a file is embedded inside an office file (Microsoft Word/Excel/PowerPoint), the content of the embedded file is also scanned. For example, if a DOCX file containing credit card numbers is inserted into an XLSX file, the content of both XLSX and the embedded DOCX files will be scanned, and credit card numbers will be detected.

5. Better scanning with PDF files

· Ability to scan and detect sensitive content in PDF forms.

· Ability to scan and detect sensitive content in permission protected PDF files. Permission protected PDF files are ones which do not require any password to open the file and read the content but require a password to edit/copy the content.

You do not need do any changes to your existing policies. Your existing policies will seamlessly start scanning additional content as detailed above.

(Updated) Microsoft Viva: Connections news notifications on desktop and web

Viva Connections is now a pre-installed app in Teams. Similar to other Teams app, Viva Connections notifications follow the Microsoft Teams notification settings, including Quiet Hours settings.

Users can control what notifications they want to see in the following ways: 

  •  On Teams desktop and web, specific notification types can be selectively enabled or disabled under Settings > Notifications and activity > Viva Connections. These settings are respected on Teams mobile as well.
  • On Teams mobile, notifications can’t be selectively enabled or disabled, but users can toggle all push notifications (including Viva Connections) in the Teams mobile app under Settings > Notifications > General Activity > Apps on Teams. Notifications will still be visible under the Microsoft Teams activity feed.

Existing Microsoft Viva Connections news notification functionality (currently available on Microsoft Teams mobile) will now be available on Microsoft Teams desktop. Additionally, this functionality will enable notification settings for Viva Connections at both app and individual notification levels in Teams Desktop.

We are introducing small changes to the calendar event’s right-click context menu in new Outlook for Windows and web, making it easier for users to respond to meeting invitations from the Calendar surface. All RSVP options (Yes/No/Maybe) will now be on the first level of the menu instead of hidden under an RSVP menu option. Also, users will now also be able to choose between responding to all events in the series or just the current instance.

Designated delegates, such as the leader’s chief of staff or direct reports, will be able to view Copilot Dashboard insights and use them to make data-driven decisions. Designated delegates have the same access to Copilot Dashboard as the leader but cannot see the leader’s personal insights. This message applies to Viva Insights on Desktop, on the web, on iOS/Android, and in Microsoft Teams.

  • Leaders can revoke access to anyone at any time.
  • Delegates cannot delegate access to others.
  • Leaders can delegate access to multiple people.

[How this will affect your organization:]

Before this rollout: Viva Insights home was focused on highlighting metrics. We received feedback asking for more leader reports.

After this rollout:

Home page and navigation updates

We will update the Viva Insight home page and left navigation to highlight reports.

  • The left navigation will separate into two sections: Team insights and Your insights. The new reports will be under Team insights and the existing Wellbeing, Productivity, and Teamwork pages will be under Your insights. Insights about your team that was previously in Wellbeing, Teamwork, and Productivity pages will be moved to the new Team insights pages.
  • Our home page redesign will include new cards for new reports on external focus, new hire onboarding, and meeting cost and quality.
  • In the new Library page, users can access all metrics associated with existing reports. Users can also filter their metrics by sub-organizations, time periods, and peer benchmarks.

Employee engagement with leadership communications report

We will release a new out-of-the-box report on employee engagement with leadership communication. This report helps leaders understand the reach of their communications in their organization, and their employees’ engagement with the leaders’ emails, meetings, and shared files to better understand the effectiveness of different modes of communication.

Pulse survey as a recommendation action

Leaders can now send a Viva Pulse survey from leader reports to quickly gather employee sentiment feedback. A leader can take these Pulse-related actions:

  • Send a Pulse survey – Leaders can send a Pulse survey to ask their team about research and report findings. For new hires, Pulse leaders can choose from a set of research-backed questions.
  • View status of and results from a Pulse survey– Leaders can see the status of a Pulse survey, including if it is in draft, still awaiting responses, or has results ready for review.

These features are on by default. Admins can disallow the app in their organization if desired.

(Updated) Microsoft Teams: Extended directory retires starting July 22, 2024

Updated August 9, 2024: This feature was rolled back and deprecated due to low feature usage and customer demand. Thank you for your patience.

We will be retiring the Extended directory preview-only feature for Connected Chat in Microsoft Teams starting July 22, 2024, and ending July 31, 2024. Instead, we recommend admins use Teams connect chat supported by external access, where we will continue to invest our development resources. You can access the External access features in Teams admin center > Users > External access.

The Extended directory feature, which was released to public preview customers in February 2024, is being deprecated due to low feature usage and customer demand. As a result, we will gradually phase out the feature by disabling it in all interfaces. The retiring feature was accessed with the Manage external user profiles button:

Microsoft Forms | Data sync to Microsoft Excel: Support for migrating from the older solution to the new solution

As communicated in MC816207 Microsoft Forms now supports live data sync to Microsoft Excel with more functionality (July 2024), Microsoft Forms is introducing a new data sync solution with higher reliability to sync Forms response data to Microsoft Excel for the web. Before this rollout. Forms supported an older version of live data sync to Excel. The older version of live data sync will be replaced by the newer solution on October 20, 2024. This message describes the support that we will provide for migrating from the older solution to the newer solution.

[When this will happen:]

General Availability (Worldwide): Support for migrating the older data sync to the new solution will begin rolling out late August 2024, and we expect to complete by early September 2024.

[How this will affect your organization:]

Users who rely on the older version to sync data from Forms to Excel will need to manually update the data sync to the new solution after October 20, 2024. After this date, existing Excel files with the older data sync will be retained but will no longer receive automatic data updates from Forms.

The older version of the data sync exists in two types of Forms:  

  • Forms created from Microsoft OneDrive and Excel for the web
  • Group forms created with SharePoint Online, Microsoft Teams, and Microsoft 365 Groups.

For these two types of Forms, we will provide this support to migrate to the new solution:

  • Users who own Forms with the older version of the data sync will get notifications through email, Forms, and Excel for the web.
  • In Forms, users will be able to recreate the data sync with the new solution. A new worksheet will be created in the same workbook as the older data sync. The new worksheet will be connected to the latest data from Forms.
  • After the older solution is retired, the user can still recreate a new data sync to the Excel workbook.

For workflows that connect to Excel data from Forms responses (such as Power Automate workflows), users will need to update the workflow to the Forms connector for new response updates. Learn more: Create an automated workflow for Microsoft Forms – Microsoft Support

Note: The new data sync can only be triggered in Excel for the web. If users want to receive new Forms response data in the Excel desktop app, open the file in Excel for the web, and then wait for the desktop app file to sync from the web file. (Support for other versions of Excel is in progress.)

Before the rollout

Immersive spaces in Teams require endpoint and firewall requirements outlined in Endpoints and Firewall Ports for immersive spaces in Teams.

During the rollout

  • You may find that you don’t need to configure the endpoint and firewall requirements outlined in Endpoints and Firewall Ports for immersive spaces in Teams.
  • We recommend supporting the full set of endpoint and firewall requirements for immersive spaces to prevent an interruption in service during rollout.

After the rollout

  • The network setup requirements will be simplified to the endpoints and ports needed for Microsoft Teams, as documented in Microsoft 365 URL and IP address ranges, as well as those for Azure Communication Services, as documented in Firewall configuration for Azure Communication Services.
  • As part of this, you will no longer need to allow traffic to IP addresses in the “AzureCloud” service tag over the protocols and ports, as outlined in the immersive spaces setup docs for admins.
  • Users in your organization will no longer need to consent to the terms needed to use Mesh’s current infrastructure for spatial audio to use immersive spaces in Teams.

This feature is on by default and accessible to all Mesh users.
