Targeted Release: We will begin rolling out mid-January 2025 (previously early November) and expect to complete by late January 2025 (previously mid-November).

General Availability (GCC High, DoD): We will begin rolling out early April 2025 (previously early December) and expect to complete by late April 2025 (previously mid-January).

[How this will affect your organization:]

Longer URLs for meetings scheduled before the rollout will continue to work. The new URL syntax is: https://teams.microsoft.com/meet/<meeting_id>?p=<HashedPasscode>

[What you need to do to prepare:]

You may want to check if you have any integrations that use parameters from URL. After the rollout, the URL will only contain the meeting ID. Parameters such as tenant ID, organizer ID, conversation ID and message ID will not be in the URL.

This rollout will happen automatically by the specified date with no admin action required. You may want to notify your users about this change and update any relevant documentation as appropriate.

With this feature update, if both the Microsoft 365 app and the standalone apps for Microsoft Word, Microsoft Excel, or Microsoft PowerPoint are installed on a user’s mobile device, the standalone app will be given preference for opening its respective file type over the Microsoft 365 app.

General Availability (Worldwide, GCC, GCC High, DoD): We will begin rolling out mid-September 2024 (previously early August) and expect to complete by mid-October 2024 (previously mid-September).

[How this will affect your organization:]

Currently in Microsoft Outlook for iOS and Android, if users have both the Microsoft 365 app and the standalone apps for Word, Excel, or PowerPoint installed on their device, users will be prompted in Outlook mobile to open the document with the Microsoft 365 app. With this change, the user will instead be prompted to use the standalone app that fits the document type. 

[What you need to do to prepare:]

Review the app management policies for your organization. If you currently restrict users to only the use of the Microsoft 365 app for document opening and editing, consider allowing the standalone apps for Word, Excel, and PowerPoint for use as well. You also may want to notify your users about this change and update your training and documentation as appropriate.

Microsoft Teams Rooms on Microsoft Windows will soon support Proximity Join via ultrasound. It will be an alternative to using Bluetooth or QR codes and typically will not penetrate walls, therefore improving the quality of detected rooms by personal devices. This release will be rolling out to Microsoft Teams Desktop (Windows and MacOS) for receivers and to select Microsoft Teams Rooms on Windows.

[How this will affect your organization:]

The user experience for Proximity Join on Microsoft Teams Rooms will not change as a result of this feature. The suggested room in the room list will be improved using ultrasound.

Previous tenants that were not able to leverage the Proximity Join feature due to Bluetooth restrictions will be able to use Proximity Join via ultrasound with this release.

This new feature will be enabled by default.

[What you need to do to prepare:]

You may want to notify your users about this new capability to detect nearby rooms using the laptop microphones, which will receive the ultrasound signal broadcasted from select Microsoft Teams Rooms that have consoles built with a dedicated ultrasound speaker. Audio peripherals connected to laptops may affect the device’s ability to detect the ultrasound signal.

A modernized new user experience (UX) for Microsoft Purview eDiscovery will be available in the Purview portal. In this new UX experience, Content Search, eDiscovery Standard, and eDiscovery Premium are unified so that users can now navigate a shared workflow that simplifies the transition between non-premium and premium features. This UX modernization also introduces features that enhance the eDiscovery process. Some of these new features include:

  • Enhanced search efficiency with message ID and sensitivity labels for faster access to information.
  • Use of the improved search by Sensitive Information Type (SIT) interface for user-friendly selection without manual input.
  • Advanced Data Source Mapping allows linking a user’s OneDrive using input such as the user’s mailbox Simple Mail Transfer Protocol (SMTP) address or user’s name, streamlining data retrieval and management.
  • Acceleration through powerful investigation capabilities, such as user’s frequent collaborators, providing a comprehensive view of the user’s networks.
  • Data Source Sync: Stay updated with the new Data Source synchronization feature, which allows users to easily track any new or removed data locations, ensuring that eDiscovery investigations remain aligned with the latest data source landscape.
  • Introduction of the new visual Statistics allows users to gain insights at a glance (such as Results containing Sensitive Information Types, top communication participants, etc.)  
  • Monitor long-running processes with an informed and transparent progress bar with the option to cancel (for certain process types) if needed.
  • Obtain a full process report for all actions taken, such as statistics for holds and exports, bolstering the defensibility of your eDiscovery efforts.
  • Customize your exports with new settings, including the option to export as a single PST file path truncation and the use of friendly names to make exported data more accessible.

(Updated) Microsoft 365 admin center: User admin and License admin roles enabled to manage self-service license requests

License admins and User admins will be able to manage license requests in the Microsoft 365 admin center. Currently, only Global admins can manage license requests. This change drives consistency with other Microsoft Entra portals in which these roles can assign licenses, such as the Microsoft Entra admin center, Intune admin center, and Azure Portal. Otherwise, no changes have been made to these roles’ permissions.

(Updated) Microsoft Teams: Video tile re-sizing based on people count for Teams Rooms on Windows

In Gallery view for Microsoft Teams meetings, a room video is optimized and larger in size to increase visibility of participants that are in a Teams Room. With this update, the room video tile will dynamically re-size based on people count to ensure adequate and equitable space is allocated in Gallery view. If there is only one participant in the room, the video tile will be the same size as another remote participant tile. If there is more than one participant in the room, the room video tile will remain optimized, at 4x the size of a remote participant. To determine the people count in rooms, Cloud IntelliFrame must be enabled or there must be a room camera that is capable of sending people count via Accessory Signaling Protocol (ASP).

The updated Gallery view will provide remote participants a better experience with the room video participants. The below image exemplifies two room participants in a Teams meeting. Conf Room Ruby remains larger in size, as there are more than two participants in the room, while Conf Room Emerald has one participant in the room and is the same size as other remote participants.

(Updated) Microsoft Teams: Voting and archiving questions in Teams Q&A

Microsoft Teams is introducing a feature that allows organizers and co-organizers of meetings, webinars, and town halls to enable attendees to upvote significant questions and declutter by archiving questions from the main Q&A feed.

Voting on questions: With voting enabled, attendees can prioritize questions by upvoting to move them to the top of the Q&A feed. Organizers and co-organizers have the ability to organize questions by most upvoted or most recent. Voting is automatically activated in events using Q&A. Organizers and co-organizers have the option to disable voting via the Q&A settings.

Archiving Questions: Organizers and co-organizers have the option to archive questions from the main Q&A feed. This feature is particularly useful for recurring meetings or events, where previous questions may no longer be relevant and need to be cleared from the main Q&A feed.

They have the ability to archive questions individually or in bulk from the Q&A feed. Once a question is archived, it gets moved to the archived Q&A feed. Additionally, questions can be restored to the main Q&A feed at any time.

Notify the meeting organizers within your organization that voting and archiving features will be available for use in meetings, webinars, and town halls. The Q&A public documentation will soon be updated to include details on voting and question archiving.

Microsoft Forms | Data sync to Microsoft Excel: Support for migrating from the older solution to the new solution

As communicated in MC816207 Microsoft Forms now supports live data sync to Microsoft Excel with more functionality (July 2024), Microsoft Forms is introducing a new data sync solution with higher reliability to sync Forms response data to Microsoft Excel for the web. Before this rollout. Forms supported an older version of live data sync to Excel. The older version of live data sync will be replaced by the newer solution on January 13, 2025. This message describes the support that we will provide for migrating from the older solution to the newer solution.

[When this will happen:]

General Availability (Worldwide): Support for migrating the older data sync to the new solution will begin rolling out late September 2024 (previously late August), and we expect to complete by early October 2024 (previously early September).

[How this will affect your organization:]

Users who rely on the older version to sync data from Forms to Excel will need to manually update the data sync to the new solution before January 13, 2025 (previously October 20, 2024). After this date, existing Excel files with the older data sync will be retained but will no longer receive automatic data updates from Forms.

The older version of the data sync exists in two types of Forms:  

  • Forms created from Microsoft OneDrive and Excel for the web
  • Group forms created with SharePoint Online, Microsoft Teams, and Microsoft 365 Groups.

For these two types of Forms, we will provide this support to migrate to the new solution:

  • Users who own Forms with the older version of the data sync will get notifications through email, Forms, and Excel for the web.
  • In Forms, users will be able to recreate the data sync with the new solution. A new worksheet will be created in the same workbook as the older data sync. The new worksheet will be connected to the latest data from Forms.
  • After the older solution is retired, the user can still recreate a new data sync to the Excel workbook.

For workflows that connect to Excel data from Forms responses (such as Power Automate workflows), users will need to update the workflow to the Forms connector for new response updates. Learn more: Create an automated workflow for Microsoft Forms – Microsoft Support

Note: The new data sync can only be triggered in Excel for the web. If users want to receive new Forms response data in the Excel desktop app, open the file in Excel for the web, and then wait for the desktop app file to sync from the web file. (Support for other versions of Excel is in progress.)

The new data sync solution will be on by default and available to all Forms and Excel for the web customers.

The selected designs for these sections are displayed in Outlook and Teams according to the channel specific render capabilities.

After this rollout

Authors editing a section in the Amplify main draft or the Amplify distribution channel for SharePoint will see an icon for Design ideas in the content pane selection. For sections containing the webparts listed later in this message, a red dot will appear in the Design ideas content pane pivot (on the right of the screen) to let you know it has ideas available. Select this pivot to open the Design ideas pane.

The Design ideas pane contains suggestions for new layouts, backgrounds, text formatting, and image webparts to enhance the section selected. The author can click on the suggestions to try and apply different ideas.

The selected ideas on main draft or the SharePoint distribution channel are visible for the published SharePoint page. The distribution channels for Outlook and Teams will adopt the design within the limits of the render capabilities of the channels. These designs can be previewed and customized specific to the channels.

After this first release, Design ideas will only be available for sections containing one or more of these:

  • 1 banner webpart
  • 1, 2, and 3 text webparts
  • 1, 2 and 3 text and image webparts
  • 1 blank text webpart

These new Viva Amplify features will be on by default and accessible to all users with Authoring permissions.

Microsoft Viva: A new reactions design in Viva Engage

Engage conversations will have a new design to show reactions across threadstarters, comments, and replies. The redesign brings a more interactive style, showing users’ reactions as clickable pills like what’s seen in other Microsoft 365 applications.

There are no changes to the number of icons available. The change will first show in Engage web (browser), Teams and Outlook apps, and interactive emails in Outlook Web app and new Outlook. In the future, we will launch in other surfaces, including the Engage iOS and Android apps.

Users will also see a dedicated copy link button and streamlined share button in threadstarters.

Microsoft Teams: FAQs about town halls and Teams Live Events

This informational message addresses several frequently asked questions regarding Microsoft Teams town halls and Teams Live Events (TLE).

First, as a reminder, TLE will not be retiring this calendar year, as announced in Updates for Town Hall in Microsoft Teams and Teams Live Events – Microsoft Community Hub and communicated in MC678003 (Updated) Microsoft Teams Live Event Retirement (updated May 2024).

We have not set a new retirement date for TLE, which we will continue to maintain while we work on closing the remaining major feature gaps between TLE and Teams town hall. Also, the full retirement of classic Teams as described in End of availability for classic Teams client – Microsoft Teams | Microsoft Learn will not affect TLE scheduling, even though TLE scheduling currently uses classic Teams. We will move TLE scheduling from classic Teams on the web and rebuild it natively in Teams 2.1. We expect to complete this work by early December 2024. As a reminder, even with the extended life of TLE, all major feature updates will be reserved for Teams town hall. We still encourage customers to move to town hall as soon are you are unblocked in terms of feature parity.

As the timelines for the features become clear, we will also update the Microsoft 365 Roadmap with timelines for each gap-closing feature we plan to release. Please keep an eye on the roadmap for updates on these features.

(Updated) Microsoft Teams: New policy for voice and face enrollment defaulting to ‘On’

We’re introducing a new policy that gives IT admins enhanced flexibility with distinct settings for voice and face enrollment. This adjustment provides greater control over managing these features, allowing organizations to tailor to their needs. Voice and face biometric enrollment will be enabled by default, enabling voice isolation and speaker recognition in meeting rooms and enhancing intelligent meeting recaps and Microsoft Copilot for meetings.

These changes will provide your organization with increased flexibility in managing voice and face enrollments. By using separate settings, you can customize for your organization’s specific needs. The enrollment policy will be enabled by default. Once enabled, these enrollments will activate features like Voice Isolation and enhanced speaker recognition, leading to more efficient and productive meetings.

To ensure you have enough time to prepare for this change, you have until mid-January 2025 to configure everything to best suit your needs. If your organization requires keeping face and voice enrollments off, be sure to review the new policy and adjust the settings during this time. This period provides an opportunity to optimize how you manage voice and face data, enhancing your team’s control over the process.

The new csTeamsAIPolicy will replace the current csTeamsMeetingPolicy, introducing two separate settings for face and voice enrollment: EnrollFace and EnrollVoice. Each can be set to Enabled or Disabled.

Microsoft Teams: Auto-detect and pre-select room audio in BYOD meeting rooms

Coming soon to Microsoft Teams: When users connect their laptop to a room’s shared peripheral through USB, Teams will automatically detect the room’s audio and recommend the room audio option on the pre-join screen to help streamline a user’s entry into a bring your own device (BYOD) meeting room. If a room’s audio peripherals are recognized as shared or they are on Microsoft’s known BYOD peripherals list, the room audio option will be suggested to users. After users connect the peripheral to their laptop and join a meeting, users will automatically transition to the room’s audio if a room’s audio peripherals are recognized as shared and are on Microsoft’s known BYOD peripherals list* or if the room’s audio peripheral is associated** to a room via the Microsoft Teams Pro management portal. A shared peripheral is one that is being used by multiple users, which distinguishes it from a personal peripheral. This message applies to Teams on Windows desktops and Mac desktops.

Before this rollout: When users connect their laptop in a BYOD meeting room to a room’s shared peripheral through USB, users must decide on their own whether to use the room audio option, and no suggestions are given based on BYOD peripheral connectivity.

After this rollout, users working at home should experience no changes. Users in the office will notice that when starting a meeting with certain room peripherals plugged in, the room audio option on pre-join will be suggested. For other room peripherals, the room audio option will be selected for them. This depends on the level of confidence given by certain scenarios.

  • You may wish to provide a feedback form to inform you if room audio was incorrectly selected for them while attending a meeting from home.
  • You may also wish to use this as an opportunity to highlight the BYOD meeting room experience again to your users.

Before this rollout, when we determine whether a user is entitled to submit feedback for Microsoft Outlook, we only look at the feedback policy for a user’s primary account (also known as the global account). This message applies to new Outlook on Windows desktop and Outlook on the web.

After this rollout, we will make the feedback policy check more restrictive, which is more secure. We will base their eligibility on the most feedback restrictive policy value in all of the user’s accounts. For example, if any of the user’s accounts have feedback disabled by a policy, we will not show the Feedback button in the Help tab of the ribbon in Outlook for any of their accounts.
