Items from the MessageCenter in Microsoft 365

(Updated) Microsoft Teams: Integrate Chat notification with Meeting RSVP status
Category:Microsoft Teams
Nummer:MC704035
Status:stayInformed

Updated November 26, 2024:  We have updated the rollout timeline below. Thank you for your patience.

Coming soon to Microsoft Outlook: Work hours and location information will be available in the My Day pane in Outlook. Users will be able to update their Work Hours and Location information from My Day and also see who is coming to Office. This message applies to new Outlook for Windows desktop and Outlook for the web.

This message is associated with Microsoft 365 Roadmap ID 412618.

[When this will happen:]

Targeted Release:  We will begin rolling out early December 2024 (previously mid-November) and expect to complete by mid-January 2025 (previously mid-November).

General Availability (Worldwide): We will begin rolling out mid-January 2025 (previously early October) and expect to complete by late January 2025 (previously early December).

[How this will affect your organization:]

Before this rollout, users can review and update their work hours and location information in Outlook Settings > Calendar > Work hours and location. This settings page will remain in place after the rollout.

After this rollout, users will also be able to see and update their work hours and location information in the My Day pane in Outlook. Changes to the My Day pane will sync to any other work hours and location settings made in Outlook.

(Updated) Changes to Administrator Permissions Required to Create and Manage Teams Resource Accounts
Category:Microsoft Teams
Nummer:MC780743
Status:planForChange

Updated November 27, 2024: We have updated the rollout timeline for this change and provided a link to additional information. Thank you for your patience.

This notice is regarding changes coming to the Teams administrator permissions that are used to create Teams Phone Resource Accounts for: Auto Attendants, Call Queues and certified Teams Call Center applications. This change could affect users with “Teams Administrator”, “Teams Communications Administrator” or the “Teams Telephony Administrator” role.

Currently, the underlying Team service’s permission is used to create Resource Accounts in M365. After this change, the ability to create Resource Accounts will leverage the Microsoft 365 admin role’s permission to create user accounts instead of the underlying service’s permission.

The “Teams Administrator”, “Teams Communications Administrator” and “Teams Telephony Administrator” roles will not have user creation permissions so this change may result in disruption in your organization’s ability to create these Resource Accounts.

Organizations that utilize those Teams roles will require Administrators with user creation permission such as Microsoft 365 Global Admin or User Admin to create and manage these Resource Accounts.

[When this will happen:]

We will begin rolling out in early December 2024 (previously early October) and expect to complete by late January 2025 (previously late October).

[How this will affect your organization:]

You are receiving this message because our reporting indicates that your organization is using Teams Phone and may have Resource Accounts created for the Teams Auto Attendant, Teams Call Queue, or a Certified Teams Call Center application.

Administrators who do not have a Microsoft 365 Admin role which contains permissions to create and manage users will no longer be able to create or modify Resource Accounts when this change is implemented.

[What you need to do to prepare:]

Evaluate if your Teams Voice Administrators who are creating Teams Resource Accounts currently have Microsoft 365 user creation and management permissions. If they do not, make the process changes within your organization for how Resource Accounts will be created and managed after this change.

Upcoming changes for creating and managing Teams Phone resource accounts

For more information, please see the “Assign permissions for managing a resource account” in the Manage resource accounts for service numbers – Microsoft Teams | Microsoft Learn document

(Updated) Microsoft Purview | Insider Risk Management: Adaptive protection – Enhancements to risk level settings
Category:Microsoft 365 suite
Nummer:MC789307
Status:planForChange

Updated November 26, 2024: We have updated the rollout timeline below. Thank you for your patience.

Coming soon: Admins can configure whether they want to expire insider risk levels in adaptive protection when a user’s alert is dismissed, or their case is resolved.

This message is associated with Microsoft 365 Roadmap ID 388736

[When this will happen:]

Public Preview: We will begin rolling out in early May 2024 and expect to complete by late June 2024.

General Availability: We will begin rolling out early July 2024 and expect to complete by mid-December 2024 (previously mid-November).

[How this will affect your organization:]

With this new feature, an admin can configure whether they want to expire insider risk levels in adaptive protection when a user’s alert is dismissed, or their case is closed. Today, this expiration happens automatically.

Microsoft Purview Insider Risk Management correlates various signals to identify potential malicious or inadvertent insider risks, such as IP theft, data leakage, and security violations. Insider Risk Management enables customers to create policies based on their own internal policies, governance, and organizational requirements. Built with privacy by design, users are pseudonymized by default, and role-based access controls and audit logs are in place to help ensure user-level privacy.

[What you need to do to prepare:]

With this update, admins will see a new option in the Risk levels tab for adaptive protection called Risk level expiration options. This setting is enabled by default, and admins can uncheck this box if they would prefer that risk levels do not expire even when a user’s alert is dismissed or their case is closed.

(Updated) Web links in the new Outlook for Windows to open side-by-side with email in Microsoft Edge
Category:Microsoft 365 apps
Nummer:MC803892
Status:planForChange

Updated November 26, 2024: We have updated the rollout timeline below. Thank you for your patience.

To help increase productivity while working online, web links from Azure Active Directory (AAD) accounts and Microsoft (MSA) accounts in the new Outlook for Windows app will open in Microsoft Edge in a single view showing the opened link side-by-side with the email it came from.

We’re adding this to the new Outlook for windows to have a consistent experience across our applications. If you have previously managed this change for the classic Outlook for Windows (MC545904, MC548092, MC541626) or for Teams (MC669480), your configuration will also apply to the new Outlook for Windows. If you wish to maintain this configuration across all three apps, no action is required.

Note: This does not change the default browser setting in Windows.

[When will this affect your organization:]

We will begin rolling out in late July 2024 and expect to complete by mid-December 2024 (previously mid-November).

[How this will affect your organization:]

Web links from emails in the new Outlook for Windows app will open side-by-side with the email in Microsoft Edge so users can easily reference the link and email without switching back and forth between apps. Links will open in Microsoft Edge even if it is not the system default browser in Windows.

  • Only links set to open via a web browser are affected. Links that are set to open in a client app or within Outlook itself will continue to do so.
  • This initial release to the new Outlook for Windows application will only enable links reading pane’s message body content
  • User experiences will vary by policy configuration; please see the next section.
  • Web links from all accounts in the Outlook for Windows app will open in Microsoft Edge.

[What you need to do to prepare:]

To manage this change, you will need to configure the Choose which browser opens web links policy, which is available today, using the Cloud Policy service for Microsoft 365 (formerly the Office Cloud Policy Service) and Administrative Templates for Microsoft 365 Apps.

  • To open web links from the Outlook for Windows app using the system default browser (current default behavior): Enable the policy and select System default browser from the policy options.
    • Users will not be able to disable or change this setting.
  • To open web links from the Outlook for Windows app using Microsoft Edge (future default behavior): Enable the policy and select Microsoft Edge from the policy options.
    • Users will not be able to disable or change this setting.
    • Users will receive a notification of this change on the first occurrence.
  • To allow users to manage the change: Disable the policy or leave the policy unconfigured. Please note that the future default behavior for web links will be to open in Microsoft Edge.
    • Users will see a notification informing them of this change on the first occurrence. This notification provides users with the option to accept the change/learn more, or to disable the change.
    • The user’s selection will also apply to the experience in the classic Outlook for Windows and Teams.
    • Users may manage this setting at any time in the new Outlook for Windows app via Settings > General > Files and links > Open hyperlinks from Outlook in.
    • If there is an existing user preference set in the classic Outlook for Windows, the new Outlook for Windows will respect it. If the user only sets a preference to use the system default browser in Teams, the new Outlook for Windows will open the links in Microsoft Edge informing them of this change on the first occurrence and users can accept the change/learn more, or to disable the change.

If your organization uses a Microsoft 365 for business plan, your users will need to manage this change individually through the Outlook settings menu: Settings > General > Files and links > Open hyperlinks from Outlook in.

Category:Exchange Online Microsoft 365 for the web Microsoft 365 apps
Nummer:MC942814
Status:stayInformed

Coming soon to new Microsoft Outlook for Windows desktop and Outlook for the web: Notifications will be batched in the Notifications pane.

Batches are groups of cards in the user’s Notification pane separated by subject. Items from the same email thread, document, spreadsheet, etc. will be grouped into a batch. This message applies to new Outlook for Windows and Outlook for the web.

This message is associated with Microsoft 365 Roadmap ID 470021.

[When this will happen:]

Targeted Release: We will begin rolling out late November 2024 and expect to complete by late December 2024.

General Availability (Worldwide): We will begin rolling out early January 2025 and expect to complete by early February 2025.

[How this will affect your organization:]

Users can access the Notification pane by selecting the bell icon in the top right corner of Outlook. Batched notifications have a chevron (^) in the top right corner. Users can expand the chevron to see all related messages:

Microsoft Viva Connections: Default experience for Home site customers
Category:SharePoint Online
Nummer:MC942817
Status:planForChange

Coming soon: We will automatically set your Home site as the default experience for Microsoft Viva Connections app in Microsoft Teams.

Note: This change will only apply to customers who have not yet set a Viva Connections experience in their tenants. Customers who already have a Viva Connections experience (either standalone or backed by a Home site) will not be affected by this change.

This message is associated with Microsoft 365 Roadmap ID 422815.

[When will this happen:]

General Availability (Worldwide): We will begin rolling out mid-January 2025 and expect to complete by late February 2025.

[How this will affect your organization:]

Before this rollout, end users could access the Homesite through the SharePoint website. With this rollout, end users are now able to also access the Homesite through the Viva Connections app in Teams.

This change will be on by default.

[What you need to do to prepare:]

If you are okay with this change:

  • No additional admin action is required.
  • We recommend creating awareness about this feature with your users by sending a new post, sharing the link to the Viva Connections app in Teams, or configuring and pinning Viva Connections in Teams. Learn more about how to access Viva Connections in the Microsoft admin center.

If you want to turn off this change, you have two options:

  • Use Microsoft PowerShell with Set-SPOHomeSite: Set-SPOHomeSite -VivaConnectionsDefaultStart:$false
  • Disable the Viva Connections app from the Teams admin center. Learn how to allow or block apps.

This rollout will happen automatically by the specified date with no admin action required before the rollout. Review your current configuration to determine the impact for your organization. You may want to update any relevant documentation.

Power Platform – Tenant Isolation will be enabled by default across your tenant
Category:Power Platform
Nummer:MC942823
Status:stayInformed
As part of our Secure by Default initiative, tenant isolation will be enabled by default on your tenant starting March 2025. This change will only affect your tenant if you do not currently have a tenant isolation policy configured.

Tenant isolation only applies to Power Platform policies and is separate from guest access policy and Azure tenant restriction features.

How does this affect me?
The default tenant isolation behavior will block all connection attempts from one tenant to another; inbound (connections to the tenant from external tenants), outbound (connections from the tenant to external tenants), or both (inbound – outbound) will be blocked by Power Platform. Communications within the same tenant will not be affected.

What do I need to do to prepare?
You can enable a tenant isolation policy prior to enforcement by following the tenant isolation policy guide. Additionally, please ensure you identify scenarios currently using cross-tenant connections or anticipate calls to or from other tenants by establishing an allow list of the relevant tenant IDs by following the recommended guidelines.
Microsoft 365 Copilot: An easier way for users to delete Copilot activity history in their Microsoft Account
Category:Microsoft Copilot (Microsoft 365)
Nummer:MC942826
Status:stayInformed

Coming soon in Microsoft Teams: An easier way for user to delete their Copilot account history from all applications. When users select Open Copilot activity history in Teams, they will be taken directly to the Settings & Privacy page in their My Microsoft account. This new entry point applies to Teams for Windows desktop, Teams for Mac desktop, and Teams for iOS/Android. A Microsoft 365 Copilot license is required to access this feature.

[When this will happen:]

General Availability (Worldwide): We will begin rolling out mid-December 2024 and expect to complete by late December 2024.

[How this will affect your organization:]

Before this rollout, users must navigate to their My Microsoft account to delete their Copilot interaction history. After this rollout, they can access the My Microsoft account Settings & Privacy page directly from Teams. Microsoft 365 admin center: Business Chat usage in Microsoft 365 Copilot usage report
Category:Microsoft 365 suite
Nummer:MC942832
Status:planForChange

The Microsoft 365 Copilot usage report in the Microsoft 365 admin center will be updated to show total usage of Business Chat and split usage of Business Chat (work) and Business Chat (web). Business Chat (web) usage is currently limited to Microsoft Edge and Microsoft 365 App, but more apps will be added over time. Promotional access to Agents in SharePoint
Category:Microsoft Copilot (Microsoft 365)
Nummer:MC942833
Status:planForChange

During a promotional trial period running from January 6, 2025, through June 30, 2025, organizations with 50 or more Microsoft 365 Copilot licenses will automatically receive 10,000 additional queries per month for agents in SharePoint, giving users without Copilot licenses access to create and use agents. We’ve added a new setting that allows admins to disable this trial access using the SharePoint Online Management Shell. View the Trial Agreement details

[When this will happen:]

The promotion will go into effect January 6, 2025, and remain active until June 30, 2025. At the beginning of December 2024, admins can disable trial access at any point during the promotional period, via the SharePoint Online Management Shell. Tenants that are eligible for the promotion will see a message bar on the Copilot Admin page in the Admin Center.

[What you need to prepare:]

Starting the beginning of December, Global administrators or SharePoint admins can use the SharePoint Online Management Shell to manage access to the trial for users without Copilot licenses.

This can be done by updating to the latest version of the SharePoint Online Management Shell and running the following commands:

Ensure that you have the latest version of SharePoint PowerShell installed to run these cmdlets effectively.

[How this will affect your organization:]

Once the trial promotion is available, your unlicensed users will be able to view and interact directly with agents in SharePoint. They will receive a notification about their promotional access and be encouraged to start exploring the feature.

RW1rcHS?ver=70a2 - KbWorks - SharePoint & Teams Specialist

Any time these users interact with agents, it will count toward your organization’s monthly trial use of 10,000 queries. Once the maximum number of queries is reached, users will be notified that the service is temporarily unavailable and prompted to try again next month.

Unused queries will not roll over to the following month. If you need more queries, you can get them by adding additional Microsoft 365 Copilot licenses. After the trial ends on June 30, 2025, users without an M365 Copilot License will no longer be able to create or use the agents. However, agents created and used during the trial promotion will remain available, and no historical data will be lost.

General Availability: We will begin rolling out early December 2024 and expect to complete by mid-December 2024.

[How this will affect your organization:]

This feature is available for analysts in the advanced insights app in Viva Insights. Analysts typically use pre-built templates or queries to investigate and answer specific questions about collaboration, workplace activities, and Copilot adoption and usage in your organization.

Copilot in Viva Insights can assist users in choosing relevant template, metrics, filters and attributes for their analysis. For example, if users want to understand more about how employees use Copilot in your organization, they can ask Copilot in natural language, “How does Copilot usage compare across organizations?” In response, Copilot will suggest using the Microsoft 365 Copilot adoption report or a Custom person query. Users can also use Copilot to add or modify metrics, filters, and attributes for a query.

Administrator protection on Windows 11
Category:Windows
Nummer:MC943561
Status:stayInformed
Enhance your organization’s Windows security with Administrator protection through Windows Hello. Available to Windows Insiders first, it will verify your identity before allowing any action that requires administrator privileges. This minimizes the risk of the user making a system-level change by mistake. Additionally, it helps prevent malware from making silent changes to the system without the user knowing. You can configure Administrator protection using Group Policy, through the settings catalog in Microsoft Intune, or with other tools coming soon. Learn more in Administrator protection on Windows 11

When will this happen:
Administrator protection is available to Windows Insiders at this point. It’s ready to be enabled via Group Policy and settings catalog in Microsoft Intune. It’s coming soon to other management tools.

How this will affect your organization:
Administrator protection helps to protect your users while still allowing them to perform necessary functions with just-in-time administrator privileges. The main benefits include enhanced security, granular user control, and malware reduction.

Microsoft Outlook: Move emails between accounts (new Outlook for Windows and Outlook for the web)
Category:Exchange Online Microsoft 365 for the web Microsoft 365 apps
Nummer:MC943640
Status:planForChange

Coming soon to Microsoft Outlook: Users can move emails between their new Outlook for Windows and Outlook for the web, streamlining organization and productivity. For enterprise users, this feature is controlled by the Set-OWAMailboxPolicy policy managed by admins in Microsoft Exchange PowerShell. By enabling this policy, admins can grant their users the ability to move emails between accounts in a way that aligns with organizational needs and policies. With this rollout, we are introducing a new parameter called -ItemsToOtherAccountsEnabled for the Set-OWAMailboxPolicy policy.

This message is associated with Microsoft 365 Roadmap ID 470018.

[When this will happen:]

Targeted Release: We will begin rolling out mid-January 2025 and expect to complete by late February 2025.

General Availability (Worldwide): We will begin rolling out late February 2025 and expect to complete by early March 2025.

General Availability (GCC): We will begin rolling out early March 2025 and expect to complete by mid-March 2025.

General Availability (GCC High, DoD): We will begin rolling out late March 2025 and expect to complete by early April 2025.

[How this will affect your organization:]

The new parameter -ItemsToOtherAccountsEnabled controls whether users can move or copy their emails between accounts. By default, the value will be False, which means that the policy is disabled and users won’t be able to move emails between accounts unless an admin changes the policy to True.

If you enable this parameter, users will be able to move emails between accounts in these ways:

1. Dragging and dropping an email from one account to another

2. Using shortcuts:

  • Copy: Ctrl C + Ctrl V
  • Copy: Ctrl + Drag and drop
  • Move: Drag and drop
  • Move: Ctrl X + Ctrl V

3. Right-click an email and select Move or Copy from the menu (menu items only available if the policy is enabled)

[What you need to do to prepare:]

This rollout will happen automatically by the specified date with no admin action required before the rollout. Review your current configuration to determine the impact for your organization. You may want to notify your users about this change and update any relevant documentation.

Reminder: Switch to New Forms Data Syncing Solution by January 13, 2025
Category:Microsoft Forms
Nummer:MC943681
Status:planForChange

In MC855685 (August ‘24), Microsoft Forms and Excel provided a new data sync solution which can sync a form’s response data to an Excel workbook, replacing the old data sync solution which will be deprecated by Jan 13th 2025.

Note: The new data sync can currently only be triggered in Excel for the web. If users want to receive new Forms response data in the Excel desktop app, open the target file in Excel for the web to sync new responses, and then wait for the file to update in the desktop app. Direct syncing support for the Windows and Mac versions of Excel is in progress and will be released soon.

Impact

There are {User} users and {Group} groups with a total of {Forms} forms using the old data sync solution in your tenant in the last 3 months (Aug – Oct 2024).

Action

To continue syncing new responses from their form to their Excel workbook, users will need to update the syncing solution for each affected form. To make sure users have enough time to make the update, we recommend that you reach out to those users and encourage them take the actions described below. Please file a support ticket to Microsoft Forms if you need the impacted user ID list.

What do users need to do?

  • Pay attention to notifications in Forms, Excel for the web and Email. For each form which is using the old syncing solution, they must migrate the form according to the instructions provided. More details can be found here: Update to the new solution for syncing forms responses to Excel – Microsoft Community Hub.
    • Notification in Microsoft Forms
    • RW1rcIt?ver=6500 - KbWorks - SharePoint & Teams Specialist

    • Notification in Excel for the web
    • RW1rhUC?ver=dc6c - KbWorks - SharePoint & Teams Specialist

    • Notification through email to Form owners: Email subject – Important: Update sync in Forms before January 13, 2025
    • RW1rfje?ver=7246 - KbWorks - SharePoint & Teams Specialist

  • If users are using the Forms Connector in Power Automate to get response data, they will not be impacted by this change, and no action is needed.
  • If users are using the old data sync solution in a workflow that relies on the Excel workbook being updated automatically without any user action, they will be impacted by the change as the Excel file will only get updated when it’s opened in a supported Excel client. These users will have to manually update their workflow. Our suggested solution is to use Power Automate: Setting Up an Automated Workflow Between Microsoft Forms and Excel Through Power Automate – Microsoft Support
  • User who are using Excel clients which don’t support the new sync solution (e.g. a perpetual client) can also consider setting up the Power Automate workflow to get updated data in their Excel workbook.
