(Updated) Device Management Changes for Microsoft Teams Android Devices

Earlier this year, the new Microsoft device ecosystem platform built on the Android Open-Source Project (AOSP) was announced delivering state-of-the art security, reliability, and manageability with Microsoft Intune. Microsoft Teams Android devices will be migrating to this platform. The first step in the migration is a firmware update to Microsoft Teams Android devices in 2024. The firmware update will move devices from Android device administrator to Android AOSP management.

[When this will happen:]

A Preview program for select Microsoft Teams Android devices is targeted for Q2 of calendar year 2024. General release of the firmware update with the Android AOSP management stack will happen later in Q4 of calendar year 2024 for all eligible Microsoft Teams Android devices.

Eligible Microsoft Teams Android devices will initially receive a manual firmware update in Teams Admin Center so IT admins can manually verify the migration on their own schedule on select devices of their choosing.

Eventually, the firmware update for migration will be scheduled as an automatic firmware update in Teams Admin Center. This automatic firmware update can be deferred for up to 90 days from first availability based upon the admin configured stages in Teams Admin Center.

[How this will affect your organization:]

The firmware upgrade, including the support for Intune management of Android (AOSP) devices must be accepted. It can be deferred for up to 90 days after it is first available. This can be done in the same way as other firmware upgrades in Teams Admin Center.

Devices will continue to remain signed in after the firmware upgrade.

Certain legacy devices will not receive the firmware upgrade for Android (AOSP) management in Intune. These devices will continue using Device Administrator.

[What you need to do to prepare:]

Policies will not be migrated automatically between Android device administrator and Android (AOSP) platforms. IT admins will need to create the appropriate new policies under the Intune Android (AOSP) platform to support their Microsoft Teams Android Devices.

This will need to be done before taking the firmware update for a successful migration.

More details on enabling support and creating enrollment profiles and policies for Intune AOSP will follow closer to the start of Preview.

(Updated) Microsoft Teams: In-meeting Error Messaging

(Updated) Microsoft Teams: Integrate Chat notification with Meeting RSVP status

Microsoft Teams users will soon be able to control how they get notified in meeting chats through RSVP to their meetings. When they decline a meeting, they will not receive notifications or see the chats in chat list; when they accept a meeting, they will receive notification for all new messages. This release of Microsoft Teams Meeting ID will be rolling out across Microsoft Teams Desktop, Mobile and Web and will provide an additional way for users to control their chat list by selecting which meetings they want to receive message updates from.

We make constant steps to improve Teams performance irrespective of the platform – this time we are making the experience of Teams meetings on web (in Safari and Firefox browsers) better for anonymous users (guests). That’s crucial because it improves external collaboration. For example, if participants from your tenant would like to have meetings with non-Teams users (who are often joining as guests) it’ll become simpler as guests joining meeting from Safari/Firefox web browsers won’t have to wait significant amount of time for the meeting experience to load. 

You may also notice that currently meeting UI in Chrome and Safari/Firefox is different, but with this update it won’t be a case anymore and you’ll enjoy all the benefits of modern UI (such as meeting toolbar on top of the screen, etc).

(Updated) Microsoft Purview Insider Risk Management: Public preview of progressive alert scoring

With this new feature, user activities that could potentially result in data security incidents will be assessed more frequently within a 24-hour period compared with the current practice of once every 24 hours. Alert insights will now be updated every few hours with this increased frequency, providing analysts with timely alerts and continuously evolving insights.

Microsoft Purview Insider Risk Management correlates various signals to identify potential malicious or inadvertent insider risks, such as IP theft, data leakage, and security violations. Insider Risk Management enables customers to create policies based on their own internal policies, governance, and organizational requirements. Built with privacy by design, users are pseudonymized by default, and role-based access controls and audit logs are in place to help ensure user-level privacy.

(Updated) Microsoft Defender for Office 365: Quarantine End User Allow and Block list management

End users can now review admin any override reasons that lead to quarantined emails.

Prerequisites

A work or school Teams account with access to a Power Automate environment in Europe or the United States.

Limitations

Power Automate supports workflow descriptions written in the English language only. Descriptions written in other languages might work but are not supported.

Cloud flows are the only type of flow that you can create from a written description.

In the version rolling out, the AI might omit some parameters, even if you provide them in the description.

(Updated) Microsoft Copilot for Microsoft 365: Copilot for Sales plugin in Microsoft Teams meetings

In Microsoft Teams meetings, admins can enable the Copilot for Sales plugin in the Preview menu. All plugins are toggled off by default, and users can toggle them on from the plugin menu. When the Copilot for Sales plugin is set to on, Copilot for Microsoft 365 in Microsoft Teams meetings will be able to access Microsoft Dynamics 365 Sales data to get a summary of the sales information for the meeting based on the transcript as well as retrieve brand information for the account from Dynamics 365 Sales if the account name was mentioned.

Additionally, Copilot for Microsoft 365 in Microsoft Teams meetings will also suggest real-time tips related to brands and competitors from Copilot for Sales at opportune moments. These real-time tips will be supplied by Copilot for Sales based on real-time intelligence in the meeting transcript.

With the new Outlook Mobile Contact editor, you can now accurately enforce a number of Intune policies you may have previously selected, such as preventing copy and pasting data in or out of the Contact editor. Some organizations have set up Intune policies to prevent unmanaged apps from accessing data, which has led to users who are not able to save contacts in Outlook Mobile. With this rollout, these organizations can maintain their Intune policies and their users can create contacts in Outlook Mobile instead of the device’s own contact editor (a third-party, unmanaged app form), greatly improving your ability to manage and enforce Intune policies related to the contact creation and editing experience.

This feature will not directly impact the Outlook Mobile Contact Sync/Save feature (syncing contacts from Outlook Mobile to the device’s native editor). We expect a reduced dependency on the use of Contact Syncing to the native contact editor now that users can create, edit, and manage their contacts in Outlook Mobile.

To make sure Microsoft Teams provides the best workflow experience for our users, we are making it easier to configure and run workflows for files. A user will be able to select the three-dot menu on files shared in Teams chat or channels, and then choose Workflows. From Workflows, the user will choose an instant workflow to run on a file. The user must set up the workflows in advance. A user can set up a new workflow for files by selecting See more workflows at the bottom of the three-dot menu. This launches the Workflows task module, where a user can choose a template to start setting up a new workflow. Examples of file workflows include Request approval for selected file, Get notified in Teams when a file is updated, Create a PDF copy of the file, and Add a task for this file.

If the Power Automate app is disabled in the Teams admin center, users will not see this option in the three-dot menu.

This feature will only be available in the New Teams client on the desktop and on the web.

After the rollout, three updates will enhance policy conditions in Communication Compliance:

  • Our updated policy conditions enable the detection of messages sent and received to and from external email addresses, allowing you to identify specific instances of information being shared with external contacts.
  • With new support for the OR operator, you can combine multiple conditions in the same policy. This will help you to create compound conditions with AND, OR, and NOT operators to achieve complex scenarios for your unique compliance requirements.
  • To make policy creation and updates a seamless process, we are introducing the ability to test conditions before implementing them. By using sample messages, you can evaluate how your conditions will perform and fine-tune them to align with your compliance goals.

The new condition features are in the same position in the Compliance Portal as before the rollout:

Microsoft Purview Communication Compliance provides the tools to help organizations detect business conduct and regulatory compliance violations (e.g. SEC or FINRA), such as sensitive or confidential information, harassing or threatening language, and sharing of adult content. Built with privacy by design, usernames are pseudonymized by default, role-based access controls are built in, investigators are opted in by an admin, and audit logs are in place to help ensure user-level privacy.

(Updated) Microsoft Whiteboard: @mentions in comments

[How this will affect your organization:]

When using Microsoft Whiteboard, users will be able to @mention other users within their tenant inside of a comment. The flow will look and feel similar to other Microsoft Office applications such as Word, Excel, and PowerPoint. The user will type an @ symbol followed by the name of the user they would like to @mention in the text of a comment.  

If the @mentioned user is not actively using Whiteboard then they will be sent a notification via email and via the Microsoft Outlook notification bell. Inside of Whiteboard, the @mentioned user will see a blue @mention badge on the comment in which they are mentioned.  

Additional things to note: 

  • Users will be shown a teaching callout within Whiteboard to inform them of the new @mention feature.  
  • Similar to the blue @mention badge, users will see a new red badge on comments that will display the number of replies in that comment thread that they have yet to read.

(Updated) Microsoft Teams: Presenter window enhancements while screensharing

In Microsoft Teams, we are delivering new enhancements to the presenter window that is shown while screensharing. 

The presenter window now shows up to four meeting participants (both video and audio), active speakers, raised hands and reactions, and a preview of shared content.

Meeting notifications are surfaced to the central area of the screen for easier awareness and consistent windowing behavior.

These enhancements improve awareness and visibility of what’s going on in your meeting and make it easier to engage with other attendees while screensharing.

We would like to inform you of an upcoming change to OneDrive Sync settings on macOS devices; the setting for end-users to Save screenshots to OneDrive will be discontinued. We’d like to encourage the adoption of Known Folder Move (KFM) as our path forward to sync screenshots and other content. Our development efforts will be focused on KFM, by ensuring a seamless backup of the user’s Desktop folder, which includes all screenshot files. This change is in line with our efforts to streamline our features, as the current screenshot setting overlaps with the capabilities provided by KFM.

For those with Known Folder Move (KFM) already enabled and syncing the Desktop folder, rest assured there will be no impact on your users due to the removal of the screenshot sync setting. Your users’ screenshots will continue to be backed up automatically.

For organizations without KFM enabled, it’s possible that some users are utilizing the soon-to-be-removed setting. We recommend reviewing our KFM guidance to ensure comprehensive syncing of the Desktop folder, thus maintaining continuity for your users’ screenshot backups.

Users will no longer be able to continue saving screenshots to OneDrive without KFM enabled, when this change is implemented.

After the rollout, Copilot will be able to detect and respond to the specified time period (such as March). We have also simplified the timestamp (right side of screenshot):

Classic Microsoft Teams: Uninstallation paused for Windows only

Out of caution, we have paused automatic uninstallation of classic Microsoft Teams due to a rare issue impacting the Teams Meeting Add-in in Microsoft Outlook application. This message applies to Teams for Windows only. We will update this message when we are ready to resume the uninstallation.

  • This pause will only impact customers who have not already uninstalled classic Teams.
  • This issue could result in the Microsoft Teams Meeting Add-in in Outlook disappearing from the Outlook application for Windows or could cause failure when users try to schedule or join Teams meetings.

If your users are experiencing this issue, a temporary workaround is to use the Microsoft Teams Calendar to schedule or join meetings. Can I uninstall classic Teams manually?

SharePoint Online: Legacy SharePoint Invitation Manager PowerShell cmdlets have retired

Effective immediately, we will be retiring the cmdlets in SharePoint Online Management Shell associated with the legacy SharePoint Invitation Manager. As of March 2024, the legacy SharePoint Invitation Manager is no longer used for any external sharing scenarios, as described in MC696169 (Updated) Legacy SharePoint Invitation Manager is being retired (December 2023). The two cmdlets that customized external sharing are no longer functional and are being retired.

[How this will affect your organization:]

You will no longer be able to use the properties -RequireAcceptingAccountMatchInvitedAccount or -NotifyOwnersWhenInvitationsAccepted for Set-SPOTenant, because these properties only applied to legacy external invitations.

Microsoft Viva Engage: The External users feature retires October 1, 2024

As part of the effort to fully integrate Microsoft Viva Engage into Microsoft 365 and maintain the highest standards of compliance, we will be retiring the external users feature on October 1, 2024. The external users feature is incompatible with Native Mode networks and needs to be removed to support all customers being fully Native.

External users are users that were invited to a Microsoft Yammer or Viva Engage community as guests prior to the introduction of Native Mode. You can find these users by following the instructions in Find external messaging participants in a Viva Engage network, so they can be reinvited as Entra B2B users.

Note: Office authentication must be enabled to invite these users as Entra B2B users. Only Global admins can modify this setting.

[How this will affect your organization:]

Customers in Native Mode will not see this feature present in the Viva Engage admin center but will see users renamed Former user after the feature is fully disabled on or after October 1, 2024.

Customers in legacy mode will have this feature disabled and removed from the Viva Engage admin center on or after October 1, 2024. Historical threads with users who do not have a Microsoft Entra identity will display Former user after this deprecation takes effect.

Admins do not need to take any action to prepare for the deprecation. If you would like to turn off the feature prior to October 1, 2024, you can follow these instructions.

Microsoft SharePoint: “Remove-SPOExternalUser” retires starting July 29, 2024

Starting July 29, 2024 and ending August 9, 2024, we will be retiring the Remove-SPOExternalUser PowerShell cmdlet for Microsoft SharePoint Online (SPO) users as part of our ongoing efforts to enhance security and streamline scope and permissions for external users.

After the retirement, requests using the Remove-SPOExternalUser cmdlet will be blocked with an error message similar to:

“To streamline scope and permissions for external users, enhance access management, and strengthen our security posture, this cmdlet has been deprecated. Alternatively, please use the Remove-AzureADUser cmdlet in Microsoft Entra ID for user management. Learn more: Remove-AzureADUser (AzureAD) | Microsoft Learn.”

[How this will affect your organization:]

Our telemetry indicates that only a few organizations are active users of the Remove-SPOExternalUser cmdlet for their user management needs. If this change impacts your org, please note that the functionality will continue to be available through alternate means for the tenant admins/users (see below for details).

Please begin immediately transitioning from using the Remove-SPOExternalUser cmdlet. To avoid unexpected impact, also ensure none of your workflows are calling this cmdlet. Instead, please use the Remove-AzureADUser cmdlet as described in Remove-AzureADUser (AzureAD) | Microsoft Learn, where we will continue to invest resources. 

Microsoft Outlook: Scheduling Assistant updates

WSUS driver synchronization is on its way out

Drivers will continue to be made available on the Microsoft Update catalog, but you will no longer be able to import them into WSUS. If you wish to continue operating your network on-premises, you will need to use an alternative means to import drivers and distribute them across your devices. For this purpose, we recommend Device Driver Packages.
