Introduction

We’re introducing enhancements to OneDrive that simplify the process of managing files when employees leave your organization. These updates improve visibility, streamline bulk transfers, and help ensure important content remains accessible and shared appropriately.

This feature is associated with Microsoft 365 Roadmap ID 493946.

When this will happen

General Availability (Worldwide, GCC, GCCH, DoD): We will begin rolling out in mid-October 2025 and expect to complete by early May 2026 (previously late April).

How this affects your organization

Managing OneDrive content for departing employees is now more efficient. Key improvements include:

  • Redesigned notifications: Account cleanup emails are now more prominent, reducing the chance of being overlooked.
  • Improved filtering: New filters help managers quickly locate shared or important files.
  • Bulk file transfer with preserved sharing: The “Move and keep sharing” feature allows multiple files to be transferred while retaining existing sharing permissions.
  • Consolidated alerts: When six or more files are moved, collaborators receive a single streamlined notification.

These updates help ensure a smooth handover and reduce the risk of losing critical files.

When a user account is deleted, OneDrive access is automatically granted to the manager or designated secondary owner. The recipient receives an email notification with access details and information about the OneDrive retention period. Seven days before the retention period ends, a second reminder email is sent, stating that the OneDrive will be permanently deleted in seven days.

Steps to transfer files:

  1. From the email, click View files to access the departing user’s OneDrive.

  2. Use the Shared filter to view only shared files, or All to see everything.
  3. Select files using the checkbox in the table header.

  4. Click Move to, choose a destination, and check Keep sharing with the same people.

  6. Click Move to again to complete the transfer.

Copilot in PowerPoint lets you create, edit, and refine presentations through natural conversation, directly in your presentation. You can start a new presentation or build on an existing one, asking Copilot to generate slides, update content, improve layouts, and polish design—while preserving formatting, structure, and branding. Available to Microsoft 365 users.

For Microsoft 365 Copilot-licensed users, Copilot can also connects to your brand kit so you can apply branded templates, insert brand‑approved images, and check for brand compliance.

To help organizations analyze more recent Microsoft 365 Copilot usage trends, we’re adding a new export option in the Copilot dashboard. In addition to the existing user‑week export (see MC1173208), dashboard users with company‑level access will be able to export a subset of de‑identified Copilot usage metrics aggregated by user and day. This option includes 28 days of activity data and supports more granular, short‑term insights into Copilot adoption. Exported data will usually reflect copilot activity up to 3 days before the export date; actual timing may vary 

A minimum of 50 Microsoft 365 Copilot licenses is required. This feature applies to the Viva Insights web app.

This feature is available to Copilot dashboard users with full company-level data access, including:

  • Senior leaders (as identified in Entra ID)
  • Admin‑assigned company‑level users
  • Delegates with company‑level access
  • Global analysts and admins
  • Group managers with access restricted to their own teams won’t have access to the user-day export.

What will happen

  • A new export option will allow eligible users to download de-identified, row-level Copilot usage metrics aggregated by user and day, covering the most recent 28 days.
  • Organizations can use this export to assess short-term usage patterns, support tactical adoption efforts, optimize licensing, and evaluate the impact of recent changes.
  • Exported data will usually reflect copilot activity up to 3 days before the export date; actual timing may vary
  • The export supports analysis across Copilot-enabled apps (for example, Word, Excel, Teams) and includes two additional attributes: Organization and Job function.
  • Copilot activity metrics in exports run within 2 days of Copilot license assignments or removals may not reflect those license changes. Exports run after the 2‑day window will accurately reflect the impact of those license changes in copilot activity metrics under normal conditions.
  • Data in previously exported files will not be automatically updated or modified after the export is generated.
  • Access to the new user‑day export uses the same Viva Feature Access Management (VFAM) controls as the existing user‑week export (Viva Insights → Copilot Metrics Export). No new access controls are introduced. Existing VFAM settings for the Copilot dashboard export will remain in effect and apply to both day and week level export options after the day level export is released. We’re adding live transcription capabilities to Microsoft Teams Rooms on Android. This update allows room participants to view real-time transcription—including speaker attribution and timestamps—directly on the device. If configured, translated transcripts can also display on the front-of-room screen. This enhancement supports accessibility, hybrid collaboration, and meeting clarity. A Teams Rooms Pro license is required.

  • When transcription begins, room users will be prompted to confirm the meeting’s spoken language.
  • Participants will see a notification that transcription is active, including a link to privacy details at aka.ms/privacy:

  • Icons will update based on activity:
    • Transcription icon appears when only transcription is running.
    • Recording icon appears when the meeting is being recorded (with or without transcription).
  • If translation is enabled, both original and translated transcripts will display on the front-of-room screen (original on top, translation below).
  • Devices without a Teams Rooms Pro license will not receive this capability.
  • This feature is on by default for licensed devices and respects existing admin policies.

With this release, a new Microsoft 365 Copilot setting, Dataverse data available in M365 Copilot, will be available in the Microsoft 365 admin center. This setting provides tenant‑level control over whether Dataverse business data can be accessed from Microsoft 365 Copilot chat and in‑app Copilot experiences.

What action do I need to take?
For tenants in the European Economic Area, admins will need to follow the steps in this documentation: Enable Microsoft 365 admin center Copilot Dataverse settings to set their tenants to allow their Microsoft 365 Copilot users to access their Dataverse data.
Microsoft Dataverse – Review existing application users to ensure each has an email address

Why is this action needed?
Due to application users running automated services; Microsoft Support can use this email to contact you if there is a failure. If action is not taken, you may be unable to create additional application users/application users may not receive notifications of service failures.

Support for Office LTSC 2021, and additional apps will end on October 13, 2026

As previously communicated, support for Office LTSC 2021 will end on October 13, 2026. After that date, no further updates, security fixes, or technical support will be available for this version of Office. While the applications may continue to function, using unsupported software could lead to potential security risks, compliance risks, system incompatibilities, and other issues.

Support for Visio LTSC 2021 and Microsoft Project LTSC 2021 and several other products will also end on October 13, 2026. Organizations using these products should upgrade as soon as possible to maintain security, compliance, and performance.

[How this will affect your organization:]

After end of support, Office LTSC 2021 suites and standalones will no longer receive security updates or other fixes, and no technical assistance will be available for devices still running them. Continuing to use unsupported software can expose your organization to security and compliance risks and may impact service reliability and performance.

[What you need to do to prepare:]

To mitigate these risks while maintaining access to desktop Office apps, we recommend upgrading devices to a Microsoft 365 or Office 365 suite that includes Microsoft 365 Apps (for enterprise or for business). Microsoft 365 Apps provides always-up-to-date versions of familiar apps like Word, Excel, and PowerPoint for desktop, mobile, and web with continuous support under the Modern Lifecycle Policy and is eligible for use with the Microsoft 365 Copilot add-on.

For scenarios that require a fully disconnected solution, we recommend upgrading to Office LTSC 2024. Office LTSC 2024 includes a subset of the value in Microsoft 365 Apps and will be supported until October 2029 under the Fixed Lifecycle Policy.

Take steps to prepare for this transition with the following resources:

  • Read the upgrade guidance for an overview of how to move from Office LTSC 2021 to Microsoft 365 Apps.
  • Consider engaging Microsoft FastTrack, a Microsoft support service, for moving to Microsoft 365.

Broader Windows Autopatch availability to Microsoft 365 Government Community Cloud (GCC)

  • Microsoft 365 G3 GCC
  • Microsoft 365 GCC G5

With this update, meeting transcripts, recordings, and Loop meeting notes will be able to automatically inherit the sensitivity label applied to the meeting. This capability will help reduce manual labeling and will support more consistent protection of meeting content.

  • Users who organize Microsoft Teams meetings where sensitivity labels are published

What will happen

  • Admins will be able to configure sensitivity label inheritance for Teams meeting artifacts in the Microsoft Purview portal: 

    user settings

  • When enabled, meeting transcripts, recordings, and Loop meeting notes will inherit the sensitivity label applied to the meeting.
  • Users will see the inherited sensitivity label applied to these artifacts.
  • Users may be able to manually override the inherited label, depending on label permissions.
  • Existing policies will not be affected, but existing policies can be updated to inherit the sensitivity labels.
  • This feature will not be enabled by default and will require admin configuration.

Prerequisites for label inheritance

  • The sensitivity label will need to include both the Meetings and Files scopes.
  • The sensitivity label will need to be published to the meeting organizer.
  • The tenant policy setting Apply inheritance between Teams meetings and artifacts will need to be enabled and published to the organizer.

No action is required if you do not plan to enable sensitivity label inheritance.

If you plan to use this capability:

  • Review existing sensitivity labels and confirm the Meetings and Files scopes are included.
  • Ensure the label is published to relevant meeting organizers.
  • Enable the Apply inheritance between Teams meetings and artifacts setting in the Microsoft Purview portal.
  • Update internal documentation if your organization manages meeting content workflows.
